The Legal Aid Agency

We are an executive agency of the Ministry of Justice (MoJ). We are responsible for operationally administering the legal aid fund to provide criminal and civil legal aid advice to people in England and Wales.

Case Management

The Case Management team is central to the Agency, it is responsible for handling legal aid applications, processing case payments and dealing with correspondence and enquiries received in both Civil and Criminal Legal aid matters. Our dedicated staff ensure that 600,000 new clients access justice each year, while ensuring that legal aid lawyers are paid fairly.

Records Management Centre

This role is based in Case Management’s Records Management team and focuses on maintaining a warehouse filled with varying documents ranging from Civil/Crime case files to Legal Aid policy documents. The role is primarily office based in a 50k square foot warehouse and can be physically demanding given the levels of manual handling required.

Job Summary

Reporting to the Team Manager the role holder principally supports them in the effective leadership of the team to meet Key Performance Indicators. They’ll maintain a busy warehouse containing over 150k civil case files and 4000 archive boxes as well as making retention decisions in line with GDPR and be responsible for all incoming/outgoing post. They will play a vital part in the administration of the Peer Review process wby solicitors review each other’s work to ascertain that they are working to the required standard.

They will also support with work allocation, the collation and analysis of performance statistics and effective management of resources.

The role also involves people management and leading on team engagement activities, helping the team and individual team members to achieve their potential.

Key Responsibilities:

  • Planning team resources to meet key performance indicators, including quality and productivity. Collate and analyse data to inform decisions, escalating issues as they emerge and helping to identify and implement effective solutions
  • Supporting team members to achieve their potential, including conducting 1-2-1 meetings, touch point meetings, absence review meetings, mentoring, coaching, setting objectives and developing training plans
  • Supporting team members to effectively maintain and administrator files and documents to ensure that they are following organisational processes
  • Tackle problems with performance, understanding the causes and supporting staff to overcome these. Effectively manage both team and individual performance, addressing any issues as they arise in line with the HR policies
  • Be aware of risks innt in internal processes, including Health and Safety and Information Awareness. Ensure risks are logged, relevant managers made aware and appropriate action taken
  • Assisting with the creation and review of key guidance documents, Standard Operating Procedures (SOPs) and process maps. Ensuring that internal processes are fit for purpose, making recommendations for improvement, and ensuring risks are logged, relevant managers made aware and appropriate action taken
  • Support team engagement and communication, delivering team briefings and cascading messages. Take a leading role in team meetings, encouraging the sharing of views, ideas, and solutions
  • Take part in the recruitment and selection of staff: short listing, interview panels, deliver new starter inductions

Working Arrangements & Further Information

The MoJ offers Hybrid Working arrangements w business need allows. This is an informal, non-contractual form of flexible working that blends working from your base location, different MoJ sites and / or from home (please be aware that this role can only be worked in the UK and not overseas). All employees will be expected to spend a minimum of 60% of their working time in an office, subject to local estate capacity.

Some roles will not be suitable for Hybrid Working. Similarly, Hybrid Working will not suit everyone’s circumstances. Arrangements will be discussed and agreed with the successful candidate(s) and subject to regular review.

For nationally advertised roles: All successful candidates will be appointed to the nearest viable office nearest to their home postcode and on its respective pay scale. This will be at either a HQ building (subject to desk allocation, a Justice Collaboration Centre (JCC) or a Justice Satellite Office (JSO) – See Map. All employees will be expected to spend a minimum of 60% of their working time in an office, subject to local estate capacity).

For current MoJ employees, your base location will need to be changed to the nearest viable office (to your home postcode), either at a HQ building, JCC or JSO within the National Office Network and moved its location’s respective pay scale (any legacy arrangements/locations will need to be amended).

Some of MoJ’s terms and conditions of service are changing as part of Civil Service reform. The changes will apply to staff joining MoJ who are new to the Civil Service. Staff joining MoJ from other civil service employers will transfer onto the new MoJ terms if they are already on 'modernised' terms in their current post or onto 'unmodernised' MoJ terms if they are on 'unmodernised' terms at their current post.
