Business Administrator & Personal Assistant to the Directors

Location: 17 West Park, Harrogate, HG1 1BJ
Full Time | Permanent

Salary: £35-40k

Provenance Collection is a family-owned collection of award-winning pubs, inns and hotels across North Yorkshire. As our business continues to grow, we are looking for a highly organised, proactive and professional Business Administrator & Personal Assistant to support our senior leadership team.

Working directly with our Managing Director, Finance Director and Operations Director, this is a varied and fast-paced role at the heart of the business. No two days are the same, making it an exciting opportunity for someone who enjoys organisation, problem solving and helping great businesses run smoothly.

The Role

Your responsibilities will include:

Executive Assistant

  • Providing day-to-day administrative and PA support to the Directors.
  • Managing diaries, meetings, travel arrangements and correspondence.
  • Preparing presentations, reports, board packs and meeting minutes.
  • Coordinating projects across multiple departments.
  • Maintaining company documents, databases and operational systems.

Marketing Administration and Agency Liaison Support

· Providing administrative coordination between the external marketing agency, Directors and relevant internal teams to support the smooth delivery of agreed marketing activity.

· Acting as an internal point of contact for routine marketing administration, ensuring information, requests and updates are passed to the appropriate people in a timely manner.

· Coordinating updates to food and drinks menus across print and digital platforms, working with internal stakeholders and external suppliers where required.

· Assisting with the collation and checking of website, menu and venue information to help ensure published content remains accurate and up to date.

· Supporting the organisation, scheduling and administration of marketing campaigns, promotions and events as directed by the Directors and in collaboration with the external marketing agency.

· Liaising with suppliers, designers, printers and venue teams on administrative matters connected with approved marketing activity.

· Maintaining records, trackers and approvals relating to marketing administration, ensuring deadlines and agreed actions are clearly communicated and followed up.

This list is not exhaustive and you will be required to perform any duties usually required within this role.

About You

You'll be someone who thrives on keeping people organised and enjoys working in a busy environment.

You'll ideally have:

  • Exceptional organisational skills and attention to detail.
  • Excellent written and verbal communication.
  • Proactive and solutions driven with a collaborative approach.
  • Strong IT skills, particularly Microsoft Office (Word, Excel, PowerPoint and Outlook).
  • Experience updating websites, menus or digital content (desirable).
  • The ability to work confidently with senior leaders while maintaining complete confidentiality.
  • Previous experience in an administrative, executive assistant or PA role.
