Overview

Join our dynamic team as an Administration, Business Support, and Process Improvement Specialist! In this vital role, you will help to streamline administrative operations, enhance business workflows, and support daily office functions to ensure our company runs smoothly and efficiently. Your proactive approach and organisational expertise will contribute to a productive environment where teams are empowered to succeed. This paid position offers an exciting opportunity to develop your skills in office management, data entry, and process and systems enhancement within a collaborative setting.

Responsibilities

  • Manage and coordinate administrative tasks including data entry, filing, and document management using tools like Microsoft Office 365 .
  • Ensure correct and accurate administration, monitor KPIs and help maintain high standards.
  • Support business operations by keeping accurate records in our Khaos Control ERP system and other inventory systems.
  • Assist with process improvement initiatives by analysing current workflows and recommending efficiencies to enhance productivity, be that by reducing keystrokes, automating procedures or completely re-imagining task paths.
  • Provide exceptional phone etiquette when handling inquiries, and communicating with internal teams or external clients.
  • Maintain organisational systems to ensure smooth office functioning, including supply management and equipment upkeep.
  • Perform clerical duties such as typing correspondence, managing pricelists, managing calendars, and supporting team members with administrative needs.

Qualifications

  • Proven office experience with strong organisational skills and attention to detail.
  • Proficiency in computer skills including Microsoft Office Suite (Word, Excel, PowerPoint), and basic data entry.
  • Previous administrative experience with Power Automate, Power BI and advanced Excel use is preferred.
  • Excellent verbal etiquette with the ability to communicate clearly and professionally.
  • Strong organisational skills with the ability to manage multiple tasks efficiently under deadlines.
  • Typing speed of at least 50 words per minute with accuracy.
  • Knowledge of clerical procedures and familiarity with office equipment such as printers, scanners, and phones.
  • Be a good and accurate listener.
