About Us
John Ross Jr (Aberdeen) Ltd is a world-renowned producer of traditional Scottish smoked salmon. As holders of the Royal Warrant, we pride ourselves on heritage, quality, and artisan craftsmanship. Operating from our historic smokehouse in Aberdeen, we supply high-end retailers, hotels, and international customers across 25 countries.
We are seeking a dynamic and highly capable Office Manager to join our busy manufacturing site. This is a multi-faceted role at the heart of our operations, perfect for a natural leader who thrives on deadlines and enjoys the fast-paced nature of the perishable food industry.
The Role
As Office Manager, you will be the "glue" that holds our daily operations together. You will lead our administrative team and act as the vital link between our Sales team (order processors) and the Factory Production floor to ensure our world-class products reach our clients on time and in perfect condition.
Key Responsibilities
- Operations & Leadership: Oversee and implement efficient office workflows and manage a dedicated team of administrators.
- Production Interface: Act as the primary interface between sales and production, ensuring orders are accurately communicated and fulfilled.
- Client & Order Management: Manage high-priority client accounts, overseeing the end-to-end journey from order to delivery.
- Logistics & Dispatch: Book transport and prepare all essential dispatch paperwork, including specialized export documentation (EHCs, customs declarations, and international shipping requirements).
- International Scheduling: Produce complex order schedules for international customers, particularly during peak seasonal periods.
- Infrastructure Management: Manage all office functionalities and third-party suppliers, including IT support, phone providers, and web functions.
- Site Support: Support the wider manufacturing site with general health and safety compliance, facilities management, and administrative problem-solving.
- Team Management: - lead a busy team of office administrators
About You
To succeed in this role, you must be a multitasker with exceptional organisational skills. You should be comfortable pivoting between administrative management and the high-pressure logistics of a perishable food business.
- Experience: Proven experience in office management and people leadership is essential.
- Industry Knowledge: Previous experience in a manufacturing or FMCG (Fast-Moving Consumer Goods) environment is highly desirable.
- Export Savvy: Familiarity with export paperwork is a significant advantage.
- Tech-Savy: Confident managing IT and external service providers to ensure zero downtime.
- Attributes: You must be proactive, calm yet thrive under pressure, and a strong communicator who can lead by example.
- Fully IT literate – experience/knowledge of Microsoft 365 & Sage
