Job Overview

We are seeking a highly organised and efficient Office Administrator to join our team. This role is vital in ensuring the smooth day-to-day operations of our office environment. The successful candidate will be responsible for managing administrative tasks, supporting staff, and maintaining effective communication across departments. Prior office experience and strong computer skills are essential to excel in this position. Responsibilities

  • Manage incoming calls with professional phone etiquette, directing enquiries as appropriate
  • Organise and maintain filing systems, both physical and digital, ensuring easy retrieval of information
  • Perform data entry tasks accurately using Microsoft Office and Google Workspace applications
  • Support bookkeeping activities by assisting with invoicing and expense tracking using QuickBooks
  • Prepare correspondence, reports, and presentations as required
  • Schedule appointments, meetings, and coordinate calendars for team members
  • Assist with general administrative duties such as photocopying, scanning, and ordering office supplies
  • Maintain a tidy and organised work environment to promote efficiency
  • Support other departments with ad hoc administrative tasks as needed

Qualifications

  • Proven office experience or administrative background is preferred
  • Strong computer literacy, including proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace (Gmail, Calendar, Drive)
  • Experience with QuickBooks or similar accounting software is advantageous
  • Excellent organisational skills with the ability to prioritise tasks effectively
  • Good typing speed and accuracy for data entry purposes
  • Demonstrable organisational skills with attention to detail
  • Strong communication skills, both written and verbal, with professional phone etiquette
  • Ability to work independently whilst also collaborating effectively within a team
  • Previous clerical experience or familiarity with administrative procedures is desirable
