Job Summary
We are seeking a highly organised and efficient Administrator to join our team for 11 months for maternity cover. The successful candidate will be responsible for managing a variety of administrative tasks to support the smooth operation of our organisation. This role offers an excellent opportunity for individuals with strong office experience and computer skills to contribute to a professional environment. The Administrator will play a key part in maintaining effective communication, data management, and organisational processes across departments.
Duties
Purpose of the Role:
To manage the financial administration that supports the business of operating the care home in the following key areas, in priority order:
Main Job Activities and Responsibilities
1) Sales Ledger
2) Personal Allowances
3) Cash Handling
4) Payroll
5) Purchase Ledger
6) Other miscellaneous administration duties as time allows.
This post requires both high degrees of numeracy and IT Skills.
The post holder must be smart in presentation and professional in conduct.
Specific Duties
1-Sales Ledger
-Communication of all admissions, deaths, discharges, temporary absences, fee rate changes and any other relevant information.
-The maintenance of a personal administration file for each resident.
- The maintenance of a personal administration file for each employee.
-The banking and reporting of any monies on a weekly basis.
-Establishing a payment method with the individual resident or their representative in line with company policy.
-Ensuring that fee rate changes are notified to each resident as directed.
-To ensure that Terms and Conditions of Admission are supplied to each resident or their representative and an acceptance of those terms recorded.
-To manage client contribution and private fee debt in accordance with company policy.
-To conduct all business in accordance with the policies and procedures laid down in the Administrators Manual.
2-Purchase Ledger
-To ensure that all invoices are submitted for payment in accordance with company procedures.
-Keep a record of invoices/credits on a monthly basis. Provide scanned copies of these to the business accountants via a online portal.
3-Payroll
-The reconciliation of all weekly timesheets and data entry into the payroll database.
- Accurate reporting of any agency staff hours employed throughout the week.
4-Other Duties
-To maintain the home’s patient diary, ensuring it is complete, accurate and submitted on time.
-Petty Cash Float-maintain the homes petty cash account and report balance at month end/on request.
-Amenities/Fund raising accounts- as above.
-Residents personal allowance accounts- as above.
-To safeguard all company, public and personal monies, including resident’s cash and valuables that the role necessitates handling.
-To manage Staff recruitment, including advertising roles, arranging interviews, sending references, completing DBS documentation, ordering uniforms and arranging start dates.
-To answer phone calls in office hours and direct them to the relevant departments.
-To adhere to GDPR in all aspects of the role.
-Keep updated training records on the Care Control system.
-To assist the Home Manager and Homeowner with clerical and secretarial duties as time allows.
Experience
- Proven office experience or administrative experience is essential
- Strong computer skills including proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications
- Excellent organisational skills with the ability to prioritise tasks effectively
- Good typing speed and data entry skills for accurate record keeping
- Demonstrated ability to communicate professionally via phone and email with colleagues and clients
- Familiarity with clerical procedures and office management practices is preferred
This role requires a proactive individual who can work independently while supporting team objectives. The ideal candidate will be detail-oriented, reliable, and capable of managing multiple responsibilities in a fast-paced environment.
The shift pattern for this role is Monday to Friday 8:30am-4:30pm
Pay: £15.00-£16.50 per hour
Expected hours: 37.5 per week
