Auctions Property Assistant

Reports To

Auction Sales Manager

Overview

We are seeking a highly organised and proactive Property Assistant to support our Valuations Team throughout the onboarding and managing of properties entering and progressing through the auction process. This is a fast-paced role that requires exceptional attention to detail, excellent communication skills and the ability to manage multiple properties simultaneously.

The successful candidate will play a vital role in ensuring every property is prepared to the highest standard before going to market, while providing an outstanding experience for our clients. Experience within estate agency is essential, with previous auction experience being highly desirable.

Once properties have been launched, the successful candidate will remain in regular contact with the client/s to ensure that they are fully appraised of interest levels. Incoming queries via telephone and email will be dealt with throughout the marketing process.

Key Responsibilities

Property Onboarding

  • Receive and process new auction instructions directly from one or more key, high value repeat clients.
  • Ensure all required documentation is received and accurately recorded.
  • Create engaging, accurate and compliant catalogue descriptions.
  • Upload and maintain property records on the company's CRM system.
  • Prepare properties for launch, ensuring all information is complete and accurate.

Marketing Coordination

  • Arrange professional photography and virtual tours.
  • Liaise with photographers, videographers and other suppliers to ensure marketing material is produced promptly.
  • Ensure all marketing content meets company standards before publication.
  • Coordinate the launch of new auction listings across company platforms.

Client Communication

  • Act as a key point of contact for sellers during the onboarding process and the subsequent marketing of their properties.
  • Keep clients regularly updated on progress and next steps.
  • Provide a professional, knowledgeable and responsive service at all times.
  • Build confidence with clients through clear communication and excellent customer care.

Administration

  • Maintain accurate property files and CRM records.
  • Monitor progress to ensure agreed timescales are achieved.
  • Work closely with valuers and other internal departments to ensure smooth progression of each instruction.
  • Identify and resolve issues before they delay a property's launch.

Skills & Experience

Essential

  • Previous experience within estate agency.
  • Excellent organisational and administrative skills.
  • Strong written communication with the ability to produce high-quality property descriptions.
  • Outstanding attention to detail.
  • Excellent customer service and relationship management skills.
  • Confident using CRM systems and Microsoft Office.
  • Ability to prioritise workload in a fast-moving environment.

Desirable

  • Previous experience working within property auctions.
  • Knowledge of auction processes and timescales.
  • Experience coordinating property marketing, photography and virtual tours.
