Customer Service & Office Administrator

GasCare Ltd – Macclesfield

Location: Macclesfield office (office-based role)
Hours: Monday to Friday, 9:00am–5:00pm (37.5 hours per week, 30-minute lunch) 4 Day Week is an option with longer hours
Salary: £25,000 – £28,000 per annum (depending on experience, reviewed annually)
Holiday: 20 days plus bank holidays

The Role

We’re looking for a Customer Service & Office Administrator to support our Macclesfield office operations. You’ll play a key role in ensuring smooth day-to-day running—handling customer enquiries, booking engineer visits, maintaining accurate records, and supporting the wider team.

This is a varied, fast-paced role suited to someone organised, proactive, and confident communicating with customers. You’ll need to be detail-oriented and comfortable using systems and technology.

Key Responsibilities

  • Customer enquiries:

Handling inbound calls, emails, and online enquiries promptly and professionally. Speed of response is critical.

  • Booking & scheduling:

Arranging service, repair, and installation appointments for engineers and ensuring efficient diary management.

  • CRM management:

Updating and maintaining accurate customer records, job details, and notes within internal systems.Sending confirmations, updates, and follow-ups via email, SMS, and phone calls.Managing engineer schedules, minimising downtime, and ensuring jobs are allocated effectively.Filing, scanning, handling post, ordering stationery, and supporting general office organisation.Assisting management and operations teams with day-to-day administrative tasks.Keeping the office environment tidy, organised, and professional.Supporting the business with ad-hoc administrative tasks as required.What We’re Looking ForEssential

  • Confident using systems and learning new software
  • Right to work in the UK

Desirable

  • Experience within heating, plumbing, or a field-service environment
  • Familiarity with CRM/job management systems (e.g. Commusoft or similar)
  • Experience managing engineer or field-based schedules
  • Comfortable working in a fast-paced office environment
