Full job description

We are seeking a reliable and friendly Dental Receptionist who would also be able to support us on our reception desk. We are a specialists-based practice located in Banstead Surrey. We accept referrals for treatment, advice, second opinions, and treatment planning. Our team is highly trained in-patient care, expert diagnosis, and meticulous treatment planning. We use top-tier equipment and materials to ensure high-quality treatment in a stress-free environment.

Employed Fixed term 6 months

Salary:TBC

Hours:Mon – Thurs 8.30-17.30, Fri 7.30-16.00

Key responsibilities & duties:

  • Act as the first point of contact for patients and visitors, providing a professional, friendly, and welcoming service at all times.
  • Manage patient appointments, recalls, cancellations, and emergency bookings to maximise clinical diary utilisation.
  • Handle incoming and outgoing telephone calls, emails, and patient enquiries efficiently and courteously.
  • Maintain accurate patient records and update all communications on the practice management system (SOE/R4).
  • Process patient registrations, medical history forms, treatment plans, and NHS documentation in line with practice procedures.
  • Support the smooth day-to-day operation of the dental practice and assist the clinical team where required.
  • Carry out cash handling duties, including taking payments, balancing daily takings, reconciling accounts, and preparing banking in accordance with company policies.
  • Monitor and manage outstanding accounts, failed appointments (FTAs), open treatment courses, and patient finance applications.
  • Ensure compliance with NHS regulations, EDI procedures, Data Protection requirements, and practice policies.
  • Coordinate referrals, interpreter services, and patient correspondence, ensuring all documentation is processed accurately and promptly.
  • Assist with the training and support of reception staff and contribute to maintaining efficient reception procedures.
  • Order stationery and maintain adequate stock levels for administrative supplies.
  • Manage complaints in accordance with practice procedures and provide patients with relevant information when required.
  • Maintain a clean, organised, and professional reception and waiting area environment.
  • Complete daily administrative tasks, including filing, record preparation, email management, post handling, and system backups.
  • Monitor health and safety standards within reception, waiting areas, and patient facilities, reporting any concerns to the Practice Manager.
  • Work collaboratively with dentists, clinicians, and colleagues to deliver high-quality patient care and customer service.

  • Cash handling and financial administration
  • Knowledge of SOE/R4 or similar dental practice software
  • IT literacy including Microsoft Office applications
  • Accurate data entry and record-keeping skills
  • Understanding of GDPR and patient confidentiality requirements
