Medical Administrator & Practice Manager Designate

Hours, Salary & Future Growth

  • Expected Hours: 22.5 hours per week (Core 3 days). Please note: Flexibility to work occasional ad hoc additional days is required to meet business demands, handle peak workloads, or provide holiday cover.
  • Initial Rate: £13.00 per hour (Months 1–18)
  • Promoted Rate: £18.00 per hour (From Month 18 onwards, upon successful promotion to Practice Manager)
  • Future Progression: Potential to scale up to full-time hours in the future as the practice expands and business demand increases.

We are a highly specialized, small medical practice led by a Consultant Neurophysiologist. Supported by a small, dedicated team, we pride ourselves on providing exceptional clinical services across multiple locations. We are a close-knit business looking for a proactive, organized, and ambitious individual to join us and grow with the company.

The Opportunity: A Two-Phase Career Pathway

This is not just a standard administrative job; it is a unique opportunity into medical business management.

  • Phase 1 (Months 1–18): You will start on £13.00 per hour, working 3 core days a week. You will learn our systems inside out and handle daily clinic administration while covering our current secretary’s maternity leave (starting in December). During this period, you will also receive training on implementing quality and data security frameworks.
  • Phase 2 (Month 18 onwards): Upon our secretary’s return, you will hand back daily admin tasks and step up into the permanent Practice Manager role (remaining at 3 days per week). Your focus will shift to business compliance, audits, and risk management. To reflect this promotion, your pay will increase to £18.00 per hour.

Key Responsibilities

During Phase 1 (Core Administration & Maternity Cover):

  • Patient Pathway Management: Handle patient referrals, register data securely, contact patients, schedule clinic appointments, and book clinic rooms across various towns and cities.
  • Report Processing: Receive clinic reports, input data, and proofread documentation carefully before sending it to the Consultant for final sign-off. Send finalized reports out to referrers promptly.
  • Finance & Invoicing: Generate invoices for patients/insurers and track payments to ensure accounts are settled. Log staff monthly hours and liaise with our external accountant for payroll.
  • Clinic Performance Tracking: Record and report on basic Key Performance Indicators (KPIs) and monitor report turnaround times.
  • General Enquiries & Logistics: Act as the main point of contact for patients and hospital secretaries. Book hotel accommodations and travel for the Consultant’s regional clinics.

During Phase 2 (Practice Manager Transition):

  • Review and update all internal practice policies, protocols, and standard operating procedures.
  • Identify operational risks and undertake regular internal business audits.
  • Lead the practice’s compliance journey toward achieving ISO 9001 (Quality Management) and ISO 27001 (Information Security) standards.

Requirements

  • Experience: Previous experience in medical administration, a secretarial role, or a highly regulated administrative environment is preferred.
  • Skills: Exceptional attention to detail (essential for proofreading medical reports), strong verbal/written communication, and basic computer/data-entry literacy.
  • Mindset: Highly organized, comfortable working independently in a small team, and possessing a logical, analytical mind eager to learn business compliance and ISO standards.
