Job Summary
Pointer Ltd. are recruiting for a Bid Manager to join the team.
In this role, the Bid Manager is responsible for leading and coordinating Pointer’s bid and tender submission activity, ensuring high-quality, compliant and compelling submissions are produced and submitted on time.
The role combines Bid Management, Bid Writing and tender portal administration, working closely with the lead salesperson and internal subject matter experts to position Pointer in the strongest possible light. It requires a close eye for detail, strong organisation, and a methodical approach to managing tender requirements and deadlines.
The Bid Manager will be responsible for pulling together, maintaining and presenting relevant company information to support these submissions, ensuring Pointer is represented positively and accurately in relation to compliance, accreditations, governance, capability, policies, certifications and delivery credentials. This includes maintaining a robust library of standard company information and supporting documents so recurring questionnaire and pre-qualification requirements can be completed effectively and on time.
The role is responsible for managing the end-to-end bid process, including opportunity review, planning, content development, clarification management, submission, and post-submission learning, while ensuring questionnaire and PQQ activity is integrated into the wider bid process and aligned with business priorities.
A secondary part of the role is the completion of contractor / client assessment questionnaires, PQQs, ITT’s and broader pre-qualification / compliance submissions. This is an ongoing and important requirement within Pointer, and the Bid Manager will take ownership for managing these responses efficiently, accurately and to a consistently high standard.
Key Responsibilities
Bid Management & Tender Coordination
- Manage the full bid lifecycle for PQQs, ITTs, RFIs, RFPs and other tender submissions.
- Coordinate bid plans, response schedules, responsibilities, review meetings and submission deadlines.
- Work closely with the lead salesperson / opportunity owner to align bid strategy and customer messaging.
- Review tender documentation and prepare compliance matrices, checklists, ownership schedules and submission plans.
- Ensure all inputs are gathered, quality checked and submitted within deadline.
- Support a phased handover from August 2026 with the retiring Bid Manager to retain knowledge, templates and best practice.
Bid Writing & Submission Quality
- Write, edit and refine high-quality responses that are clear, persuasive, customer-focused and aligned to company strengths and tender requirements.
- Translate technical, operational, commercial and compliance information into well-structured written responses.
- Ensure submissions present Pointer positively in terms of capability, accreditations, compliance, governance, delivery strength and added value.
- Develop and improve executive summaries, methodology responses, case studies, CVs and supporting submission content.
- Challenge and improve draft responses to raise consistency, quality and competitiveness.
Tender Portals, Clarifications & Submission Control
- Administer tender portals including registrations, communications, clarification questions, document uploads and final submissions.
- Monitor portal activity, notices and deadlines to ensure no action or clarification is missed.
- Maintain submission records and a clear audit trail for all tender activity.
- Check all submissions are fully compliant with tender instructions, formatting requirements and mandatory document returns.
- Coordinate internal approvals and sign-off before submission where required.
Questionnaires, PQQs & Company Information
- Complete ad hoc contractor questionnaires, client questionnaires, pre-qualification documentation and ad hoc business information requests.
- Collate current company information including policies, accreditations, insurances, certifications, ESG/sustainability information, H&S, quality and cybersecurity documentation as supporting evidence for PQQs etc.
- Maintain and improve a central library of standard responses, evidence documents, policies and supporting content using internal systems to enhance responses.
- Regularly review and update standard content to ensure information remains accurate, current and aligned to business capability.
Cross-Functional Liaison & Stakeholder Management
- Liaise with Sales, Design, Operations, Compliance, Finance and IT / Professional Services to gather accurate and timely bid inputs.
- Build strong working relationships with internal stakeholders to secure relevant information and support high-quality submissions.
- Coordinate internal review cycles and ensure comments are incorporated effectively.
- Support post-submission reviews and lessons learned to improve future bid performance.
Quality, Governance & Continuous Improvement
- Apply a disciplined and methodical approach to bid planning, document control and submission governance.

- Recommend enhancements to templates, standard content, processes and ways of working.
- Help ensure Pointer presents a professional, consistent and credible proposition across all tendered opportunities.
Travel & Working Requirements
- Hybrid / office-based working depending on bid deadlines and business requirements.
- Attendance at Pointer offices or internal meetings as required to support collaboration and tender reviews.
- Flexibility to support critical submission deadlines when needed.

Required Experience & Qualifications
- Proven experience in Bid Management, Bid Writing, bid coordination or tender administration.
- A strong track record of producing high-quality written submissions and managing multiple deadlines.
- Experience using tender portals and handling clarifications, uploads and compliance checks.
- Ability to gather, interpret and present information from technical, operational, commercial and compliance stakeholders.
- Excellent written English, editing and proofreading capability.
- Strong organisational skills, document control and attention to detail.
- Experience in Fire & Security, technical services, engineering, construction, FM or another project-based / compliance-led environment would be advantageous.
- Strong Microsoft Office skills; experience with bid libraries or content enhancement tools would be beneficial.
- Current full driving license.
- Must be eligible to work in the UK.
