Experienced Hotel Groups / Events Planner

Full Time, Work from Home

Responsibilities:

  • Working independently on meetings and events, from 3-150 people, across the UK and mainland Europe.
  • Arranging hotel-based meetings for clients
  • Arranging stay-only hotel bookings, and managing frequent changes to requirements.
  • Negotiating directly with venues on rates and terms.
  • Sourcing, booking and arranging payments at restaurants/bars.
  • Co-ordinating meeting venues, airport transport, team building activities etc.
  • Arranging hotel-based meetings for smaller groups, holding day to day business meetings
  • Booking and attending site visits, compiling options for clients, attending on-site if requested by client.
  • Providing hands-on event support, including handling group check ins, running errands, meet and greet at the airport, co-ordinating transport ensuring all delegates are in the right place at the right time.
  • Ongoing cross-checking all details including contracts, payment schedules, rooming lists, catering orders and more to ensure 100% accuracy at every step.
  • Maintaining accurate spreadsheets and documentation and producing detailed post-event reconciliations.
  • Researching the best in unusual, bold event spaces to meet the needs of our clients

Requirements:

  • Minimum 3 years recent experience in successfully planning and arranging hotel groups/meetings.
  • Exceptional attention to detail.
  • Ability to have professional meetings and interactions with clients and vendors.
  • Presenting a polite, positive, can-do attitude at all times.
  • Flexibility to travel within Europe at very short notice at clients request. Travel/event support on weekends also sometimes required (occasional).
  • UK based, ideally near a major airport.
  • Able to demonstrate discretion and confidentiality at all times.
  • Fully fluent in spoken and written English, to a professional level.
  • Ability to work independently successfully.
  • Calm attitude, comfortable dealing with last-minute requests and changes on a regular basis.

Location:

  • Travel in the UK for initial training (1 week).
  • Bi-annual office visits for catch up meetings.
  • Travel for events as per clients request, if required.
  • All other time working from home (this will be the majority of the time).
