We are looking to hire an Office Manager, 40 hours per week/5 days a week working in the office, working from home is not suitable for this role.

Ideally to start on 5th August 2024 but we are flexible with this depending on successful candidate.

What does an Office Manager do?

If the boss is the person who adds sparkle to a business, an excellent Office Manager applies the oil that keeps its gears moving. Our Office Manager will help to run our business smoothly and without the Office Managers organisation skills: offices would become pretty chaotic places!

The role of an Office Manager can vary greatly depending on the industry and size of organisation. In a small business like ours, with our busy office, you will be literally everything from receptionist and secretary to office manager and everything in between. Our site team are multi skilled and so are our office team too!

If you thrive on order and calm, hate mess and believe there is a proper place for everything, then working as an Office Manager could be right up your street and we are looking for YOU.

Experience is essential

We welcome experience but your personality and organisation traits are what we are looking for. We want you to have other skills that will help you succeed like good attention to detail, ability to stay calm under pressure, methodical and thorough approach to work, you have to be organised, good at juggling tasks and prioritising, we want a great team player with a desire to show initiative and ability to work independently.

We would love you to have formal qualifications and prior 2 years experience will be impressive with a diploma in a related subject such as business management. You do need to be able to demonstrate your strengths of working in the role previously. Experience is absolutely essential in this critical role as we need your skills.

What skills do you need?

Having solid numeracy and literacy skills are important and being able to type at speed helps too, so be sure to mention your GCSE's in English and Maths in your CV. Expect grammar and spelling checks from us. Computer skill are essential and you must be organised and able to multi-task.

From phone calls to Christmas party: what does the job involve?

Where to start! The Office Manager we are seeking needs to be reliable, trustworthy and a motivated individual who has the following experience to fit into this exciting new role at Kelray Ltd -

Office Admin:

  • manage the day to day operations and activities of the office including answering the telephone,
  • maintain office supplies and re-order when needed,
  • build and manage relationships with suppliers and service providers, our customers and work colleagues,
  • oversee management of office equipment and co-ordinate refills, maintenance and repairs,
  • review and maintain office policies and procedures bi-annually,
  • responsible for office health and safety compliance including being fire warden and first aider (training will be provided externally).

Admin Support:

  • provide admin support to Managing Director (MD), Quantity Surveyor (QS) and Contracts Managers (CM's),
  • co-ordinate meetings, conference calls, site surveys, events, manage schedules and diarise appointments for the MD, QS and CM's.
  • greet visitors and accept deliveries.

Human Resources

  • assist with recruitment processes: posting job vacancies, application screening etc,
  • co-ordinate new hire orientation and off boarding processes,
  • maintain employer records and personal information,
  • answer employee queries,
  • monitor holidays used vs accrued / sickness and unauthorised leave,
  • monthly absence reporting to Company Secretary,
  • tally weekly timesheets for payroll each Monday.
  • maintain training matrix ensuring qualifications are kept in date,
  • organise training when needed.


  • issue purchase order numbers to suppliers and sub contractors by email
  • build and maintain positive working relationship with existing and new suppliers and sub-contractors,
  • ensure sub contractors/suppliers insurances are in date.

Vehicle Management

  • maintain our fleet vehicles ensuring MOTS are booked 2 - 4 weeks prior to expiry dates
  • book in scheduled vehicle repairs and services with our preferred supplier,
  • action urgent repairs needed to vehicle promptly,
  • monthly review and maintain vehicle register to ensure it is up to date.


  • Business Admin HNC/HND/Degree or similar is preferred,
  • minimum 2 years experience as an Office Manager is essential,
  • excellent organisational skills to be able to multi task with brilliant time management skills,
  • excellent profiency in Microsoft Office to include Word, Excel, Outlook and Powerpoint,
  • outstanding communication skills both verbal and written are essential.

Book keeping

  • knowledge and experience of Sage 50 Accounts and Sage Payroll would be very desirable to cover holiday periods,
  • although this would not be a daily task for you book keeping / accounts experience would be very desirable in this role.

Salary: Hourly rate exceeds NMW based on experience/knowledge
