Job Overview
We are seeking a highly organised, professional and detail-oriented Office Administrator to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by managing administrative tasks, supporting staff, communicating with clients, utilising project management / Microsoft software, and maintaining efficient office processes. This position requires a proactive individual with strong communication skills and the ability to multitask in a fast-paced environment.

Duties

Manage day-to-day office operations, including scheduling appointments and maintaining calendars.

Perform data entry tasks accurately and efficiently, ensuring all records are up to date.

Handle incoming phone calls with professionalism and excellent phone etiquette, directing inquiries as necessary.

Assist with bookkeeping tasks using Xero, including invoicing and tracking expenses.

Maintain filing systems both electronically and physically to ensure easy access to important documents.

Support the team with administrative duties such as typing correspondence, preparing reports, and organising meetings.

Utilise Google Suite for document creation, collaboration, and communication within the team.

Provide clerical support as needed, including ordering office supplies and managing inventory.

Qualifications

Proficient in using office software applications, including Xero and Google Suite.

Strong organisational skills with an ability to prioritise tasks effectively.

Excellent typing skills with attention to detail for accurate data entry.

Demonstrated ability to maintain confidentiality and handle sensitive information responsibly.

Strong verbal and written communication skills to interact effectively with colleagues and clients.

Ability to work independently as well as part of a team in a dynamic environment.
