Full job description

We are seeking an experienced and highly organised Office Manager to join our team. The Office Manager will be responsible for overseeing the day-to-day operations of our office, ensuring smooth workflows, and providing administrative support to our staff. The ideal candidate will have excellent communication skills, proficiency in QuickBooks, and a strong background in office management.

Main Job Tasks and Responsibilities

Run weekly and monthly payroll on QuickBooks

Prepare and send pension reports weekly

Manage Bookwork on QuickBooks

PA duties for the Director

HR duties including arranging and attending interviews, staff appraisals and disciplinaries

Prepare documents for audits from insurance companies

Prepare, collate and monitor weekly and monthly reports

Answer, screen and transfer inbound phone calls

General clerical duties

Handle requests for information and data

Resolve administrative problems and inquiries

Prepare and modify documents including correspondence, reports, drafts, memos and emails

Schedule and coordinate meetings, and appointments

Prepare agendas for meetings and take minutes

Open, sort and distribute incoming correspondence

Maintain office supply inventories

Coordinate maintenance of office equipment

Coordinate and maintain records for staff files

Education and Experience

Knowledge and experience undertaking Payroll – QuickBooks advantageous

Knowledge and experience undertaking Bookkeeping duties

Computer skills and knowledge of relevant software

Knowledge of operation of standard office equipment.

Knowledge of clerical and administrative procedures and systems such as filing and record keeping

Knowledge of principles and practices of basic office management

Planning and organizing

Prioritizing workload

Attention to detail and accuracy
