Full job description

Who We Are

Itasca Wines, based in Hampshire, was formed over five years ago and has grown into the second-largest contract winemaker in the UK.

Our range of award-winning wines is renowned for its quality and connection to sustainable farming.

After a successful few years, Itasca has started to branch out into own-brand wine and hospitality, and has acquired Cranborne Lodge, a beautiful stately home in the Dorset countryside. It is our intention that Cranborne becomes the “Maison” for Seventeen 28, our own brand, and the personification of that brand across all touchpoints.

Wine sits at the heart of what we do, but our ambitions extend well beyond the bottle. We are developing a distinctive hospitality offering that brings together English wine, food, beautiful places and memorable experiences.

About the Role

We are looking for an organised, detail-focused and experienced bookkeeper to join our Finance team and support the day-to-day financial operations of the Itasca Group.

This is a varied, hands-on role working across multiple companies within the Group. Working closely with the Financial Controller, you will take responsibility for the accurate processing and maintenance of our financial records, covering sales and purchase ledgers, bank and credit card reconciliations, payroll, VAT and month-end accounting through to trial balance.

The role would suit someone who is confident working independently, comfortable managing regular transaction volumes and able to stay organised while working across several businesses and priorities. Strong practical Xero experience, accuracy, adaptability and confidence with technology are essential.

Day-to-day bookkeeping

Manage the day-to-day financial transactions across the Itasca Group, with responsibility for maintaining accurate sales and purchase ledgers across multiple entities.

· Raise and issue customer invoices and produce month-end customer statements.

· Manage credit control activities and support the timely collection of outstanding debts.

· Verify supplier invoices against approved purchase orders and process purchase invoices accurately and promptly.

· Obtain supplier statements and perform monthly reconciliations for key suppliers.

Reconciliations and month-end

Support the Financial Controller with accurate reconciliations and month-end processing through to trial balance.

· Perform daily bank and credit card reconciliations across all company accounts, monitoring cash balances and optimising funds held in interest-bearing deposit accounts.

· Maintain the fixed asset register and process monthly depreciation calculations.

· Prepare and post month-end journals, including accruals, prepayments, intercompany/interdepartmental transactions and control account reconciliations.

· Complete balance sheet reconciliations and support the month-end process through to trial balance.

· Prepare the initial draft of monthly Profit & Loss accounts, identifying and investigating errors or omissions prior to review by the Financial Controller.

Payroll, VAT and cash management

Take a hands-on role in the Group’s regular payroll, VAT and cash management processes.

· Administer the monthly payroll process, including maintaining absence records and managing benefits and expenses reporting.

· Prepare and submit quarterly VAT returns, ensuring compliance with HMRC requirements.

· Prepare and maintain a monthly short-term cash flow forecast to support effective week-to-week cash management.

· Produce and submit a weekly proposed payment run schedule for approval.

· Review and monitor employee credit card and out-of-pocket expenditure, ensuring compliance with company policies.

Additional responsibilities

· Maintain accurate and up-to-date employee records, ensuring personnel documentation supplied by the external HR provider is appropriately filed and retained.

· Support the year-end audit process by providing financial data and responding to queries from the Financial Controller and external auditors.

· Support the submission of National Statistics returns.

· Produce and provide financial and management information as required by the Financial Controller, Directors and other departments across the business.

Ability to handle confidential information with discretion and professionalism.

Desirable experience

Experience working within a multi-company or group accounting environment.
