Are you looking for a role where your organisational skills genuinely make a difference?

We’re looking for a capable, confident and friendly administrator to join our growing team, supporting charities, membership organisations and not-for-profits across the UK.

This is a varied, people-focused role for someone who enjoys problem-solving, building relationships and being the calm, reliable presence behind successful boards, events and services. If you like working as part of a close-knit team, learning new things and taking pride in doing things properly (with a bit of humour along the way), you could be exactly who we’re looking for.

Cygnul provides a complete secretarial and administrative service to membership associations, charities and other not-for-profit organisations. We’re known for our can-do attitude, professional standards and warm, human approach.

We work as a team to deliver customer service, board and committee support, business and finance administration, and event organisation. Our clients trust us as advisors and partners, and we’re constantly learning how to help them improve and grow.

We’re a small but growing team and expect that growth to continue.

This is a full-time, office-based role, Monday to Friday. There is no bank holiday working and we close the office between Christmas and New Year.

There may be occasional UK travel to support meetings or events, sometimes including overnight stays, with dates planned well in advance.

This role would suit someone who:

· Is organised, confident and enjoys taking ownership of tasks

· Likes supporting others and being the first friendly point of contact

· Is adaptable, curious and keen to learn

· Has strong communication skills and a high level of empathy

· Enjoys variety

Our team comes from a wide range of backgrounds and we will consider people who cannot currently demonstrate all the desired skills. A flexible attitude and willingness to learn matter more than ticking every box as in-house training will be provided.

Important information

· A full driving licence and access to your own transport are essential due to the rural office location and occasional event travel

· The successful applicant will be required to undergo basic security vetting, including references and a criminal record check

· As this is a client-facing role, a professional appearance is required, including a dress code that excludes visible tattoos that cannot be covered, facial piercings and unnatural hair colours

You’ll support a portfolio of clients and may be involved in:

Customer service & membership administration

· Responding to emails and telephone calls

· Processing membership applications and renewals

· Producing newsletters and monitoring responses

· Monitoring social media channels

Board and committee support

· Organising board and committee meetings

· Producing agendas, reports and papers

· Attending meetings and taking accurate minutes

· Tracking and following up on actions

· Supporting board members with projects

Business & finance administration

· Basic bookkeeping using accounting software

· Monitoring annual renewals (insurance, website hosting, ICO, etc.)

· Processing invoices and payments

· Producing invoices for memberships and events

· Monitoring income and managing credit control

Client Events

· Organising meetings, seminars, conferences, training courses and networking events

· Booking venues, catering and speakers

· Advertising events and processing bookings

· Preparing delegate materials and packs

· Attending events to support setup and delivery

Essential skills

· Excellent verbal and written communication

· Confidence using email, word processing and spreadsheets

· Strong organisational skills and self-motivation

· Curiosity, enthusiasm and empathy

Desirable experience

· Minute taking

· Basic bookkeeping and/or experience using Xero

· Customer-facing roles (e.g. hospitality) or volunteering experience

Interested?

If you’re looking for a stable, interesting role where your work genuinely supports organisations doing good, where you’ll be trusted, supported and valued, we’d love to hear from you.
