Full job description

Role Overview

As an Assistant Contracts Manager at MMVI Ltd, you will be the primary support for our Contracts Manager, focusing on the delivery of building repair and reinstatement projects. This is a high-growth role designed for an individual who is methodical, process-driven, and ambitious. You will be given full training to master the technical aspects of the industry, with a clear progression path to becoming a full Contracts Manager as you meet your developmental milestones.

Key Responsibilities

● Project Surveying: Assist in surveying sites and preparing accurate work scopes for residential and commercial repair projects.

● Budget & Resource Planning: Support the planning of labour and materials while monitoring project spends to ensure they remain within budget.

● Software Management: Take ownership of updating industry-standard software to track project progress, ensuring all data is auditable.

● Stakeholder Liaison: Act as a key point of contact for customers, internal staff, and sub-contractors to manage expectations and resolve on-site issues.

● Compliance & Safety: Monitor site works to ensure they meet technical standards and strict Health & Safety regulations.

● Financial Administration: Oversee the end-to-end invoicing process once projects are successfully completed.

Minimum Requirements

● Experience: 1–3 years in a management or supervisory role (e.g., Retail Management, Project Coordination, or Site Supervision).

● Technical Skills: Strong proficiency in Maths and IT.

● Soft Skills: Exceptional verbal communication and the ability to lead a diverse team of sub-contractors.

● Attitude: Proactive, methodical, and a "right-first-time" mindset.

Key Performance Indicators (KPIs)

To ensure your development toward the Contracts Manager role is successful, your performance will be measured against the following metrics:

1. Project Delivery & Punctuality

● Milestone Adherence: Ensure 90% of assigned project phases (e.g., initial survey to start date) meet the agreed internal timescales.

● Completion Rate: Assist in maintaining a project "On-Time Completion" rate of at least 95%.

2. Quality & Compliance

● First-Time Fix/Snagging: Maintain a "Zero Snag" target on 85% of projects at the point of client handover.

● Safety Audits: 100% compliance with Health & Safety site checklists and mandatory internal procedures.

3. Financial Accuracy

● Budget Variance: Ensure project costs stay within a +/- 5% variance of the original estimate prepared for the client.

● Invoicing Cycle: Ensure 100% of project invoices are processed within 48 hours of project completion.

4. Customer Satisfaction

● Client Feedback: Achieve an average customer satisfaction score of 4.5/5 on post-completion surveys.

● Response Time: Ensure all client or sub-contractor enquiries are acknowledged and addressed within 4 working hours.

5. Professional Development

● Technical Mastery: Completion of all internal technical training modules (Software, Surveying, and Estimating) within the first 6 months.

● Autonomy: Demonstrate the ability to manage small-scale "standard" repair projects independently by the end of the probationary period.
