Job Purpose

The Voids Supervisor is responsible for leading the end-to-end delivery of void refurbishment works across social housing properties in Kent and the South East, ensuring homes are returned to a safe, compliant and lettable standard within agreed client turnaround times.

The postholder will manage a team of directly employed operatives and specialist subcontractors, producing schedules of work from property inspections, managing supply chain performance, and ensuring all works are completed right first time, within budget and in accordance with Tailored Maintenance’s quality, safety and customer service standards.

The role is central to delivering excellent outcomes for clients, residents and stakeholders, and plays a key part in supporting business growth, contract performance and TM’s reputation in the market.

Key Responsibilities

1. Service Delivery

  • Manage the day-to-day delivery of void refurbishment works across assigned contracts, coordinating multi-trade operatives and approved subcontractors to ensure programmes are met.
  • Conduct thorough pre-void inspections of all properties, produce accurate schedules of work and specify required works to void and lettable standard; review scopes with the Operations Manager and client representatives as required.
  • Carry out works-in-progress inspections throughout delivery and post-completion inspections prior to handover, confirming works meet specification, client standards and lettable condition.
  • Allocate work packages efficiently, sequencing trades to maximise productivity and minimise turnaround times; monitor progress against programme and address delays proactively.
  • Ensure all void properties are handed over within agreed client turnaround times, minimising void periods and rent loss.
  • Identify follow-on works, variations and defects early and support prompt resolution to avoid programme delays.
  • Support the mobilisation and delivery of new contracts where required, contributing operational knowledge and site presence.

2. Subcontractor & Supply Chain Management

  • Manage and monitor the performance, productivity and workmanship quality of approved subcontractors across all trades, including carpentry, plumbing, plastering, decorating, flooring and tiling.
  • Allocate work packages to subcontractors, set clear expectations around programme, quality and conduct, and ensure attendance and output aligns with agreed timelines.
  • Challenge underperformance directly and consistently; escalate persistent issues to the Operations Manager where required.
  • Coordinate material requirements with suppliers and stores in advance of works commencing, minimising downtime, controlling wastage and managing material costs against budget.
  • Maintain an accurate and up-to-date approved subcontractor register for your patch; provide performance feedback to support supply chain development.

3. Leadership & Team Management

  • Provide day-to-day supervision of directly employed multi-trade operatives, setting clear work programmes and maintaining high standards of conduct, productivity and quality.
  • Conduct regular toolbox talks, site briefings and one-to-one conversations with operatives; record and retain evidence.
  • Monitor individual and team productivity against targets; address underperformance promptly and in line with TM’s procedures.
  • Support the identification of training and development needs within the team; escalate to the Operations Manager.
  • Promote a positive, inclusive and safety-first culture across all sites.

4. Quality Assurance

  • Ensure all works meet TM and client quality standards at every stage of delivery, from pre-inspection through to final handover.
  • Drive right-first-time performance; actively identify and reduce defects, recalls and repeat visits.
  • Complete quality inspections and audits across your patch, producing accurate inspection reports with photographic evidence.
  • Investigate quality concerns promptly, identify root causes and implement corrective actions.
  • Identify and escalate opportunities for continuous improvement in delivery processes and working methods.

5. Commercial Management

  • Monitor labour utilisation, operative productivity and subcontractor output against budget; identify and address inefficiencies.
  • Control material usage and wastage across your patch; coordinate with suppliers and stores to maintain accurate stock records and avoid unnecessary expenditure.
  • Identify and record variations and additional works accurately and promptly; ensure all additional scope is properly instructed and evidenced before works commence.
  • Ensure all void works are delivered within budgetary constraints; flag cost risks and overspend to the Operations Manager at the earliest opportunity.
  • Maintain accurate works order records, timesheets, job status updates and cost reporting in line with TM’s internal procedures and client requirements.

6. Health, Safety & Compliance

  • Ensure full compliance with Health & Safety legislation across all sites, including CDM Regulations 2015, and TM’s Health & Safety Management System.
  • Conduct regular site safety inspections; record findings, implement corrective actions and monitor close-out.
  • Ensure all operatives and subcontractors operate in accordance with approved RAMS and COSHH assessments; review and update where required prior to works commencing.
  • Deliver and record toolbox talks, site inductions and safety briefings; maintain records for audit purposes.
  • Ensure statutory compliance requirements are achieved across all void properties, including:

◦ Electrical safety (EICR completion and certification)

◦ Gas safety (CP12 and appliance commissioning)

◦ Fire safety (FRA recommendations and fire door compliance)

◦ Asbestos management (HSG264 procedures, refurbishment surveys and R&D surveys where required)

◦ Water hygiene (L8 compliance, flushing and temperature checks)

◦ Building Safety Act 2022 obligations where applicable

  • Report and investigate all accidents, incidents and near misses immediately in accordance with TM’s incident reporting procedure; support RIDDOR reporting where required.
  • Promote a culture of safe working at all times and challenge any unsafe acts or conditions immediately.

7. Job Management Systems & Reporting

  • Maintain accurate, real-time job status updates across all void works using TM’s job management system, including works order progress, trade sequencing, completion status and photographic evidence.
  • Submit all timesheets, operative worksheets and subcontractor attendance records accurately and on time in line with TM’s payroll and commercial procedures.
  • Produce and submit void completion packs prior to handover, including post-inspection reports, compliance documentation and photographic evidence packs.
  • Contribute to monthly operational performance reporting, identifying trends, risks and improvement opportunities.
  • Ensure all client-specific reporting requirements are met accurately and within agreed timescales.

8. Customer & Client Management

  • Develop and maintain positive working relationships with client housing officers, void co-ordinators, asset managers and surveying teams.
  • Attend client performance review meetings as requested by the Operations Manager; represent TM professionally and constructively.
  • Liaise with residents professionally where required during void works; manage expectations and resolve issues promptly.
  • Manage escalated customer complaints at site level; escalate unresolved issues to the Operations Manager.
  • Maintain a high standard of customer care throughout the entire delivery process, consistent with TM’s values.
