Who are Eque2?

Eque2 provides specialist software for the construction and housebuilding sectors, helping businesses manage everything from estimating and financial management to commercial operations and project delivery.

We work with leading platforms including Microsoft, Sage and Xero, helping construction businesses improve visibility, stay in control and manage their operations more effectively. Role Purpose

The Executive Assistant will provide high-quality, proactive executive support to the CEO, while coordinating administrative support for the wider Executive Leadership Team. Alongside this core executive support responsibility, the role will oversee the effective day-to-day management of the Maidenhead office.

This is a varied and trusted role requiring excellent organisation, discretion, sound judgement and a proactive approach. The successful candidate will manage the CEO’s diary and travel, coordinate executive and leadership meetings, support board and investor-related activities, and ensure actions and documentation are managed effectively.

Alongside executive support, the role will oversee office operations, suppliers, facilities and workplace arrangements, helping to maintain a professional, welcoming and efficient environment for employees and visitors.

The ideal candidate will be confident working with senior stakeholders, comfortable managing competing priorities and able to work independently while maintaining consistently high standards of service and professionalism.

Key Responsibilities

Executive Support to the CEO

  • Proactively manage the CEO’s diary, prioritising meetings and commitments in line with business needs.

  • Coordinate internal and external meetings, including room bookings, agendas, presentations, briefing materials and follow-up actions.

  • Arrange travel, accommodation and detailed itineraries, ensuring logistics are managed efficiently.

  • Screen, prioritise and manage correspondence, ensuring appropriate and timely follow-up.

  • Act as a key point of contact between the CEO and internal and external stakeholders, handling communications professionally and diplomatically.

  • Prepare and coordinate documents, presentations and briefing materials as required.

  • Handle confidential, commercially sensitive and personal information with discretion and integrity.

Executive Leadership Team Support

  • Provide coordination and administrative support to members of the Executive Leadership Team.

  • Coordinate meetings, leadership off-sites, business planning sessions and other leadership activities.

  • Prepare agendas, collate meeting papers, distribute materials and ensure meetings are organised effectively.

  • Provide coordination and administrative support for business projects and cross-functional activities as required.

  • Provide administrative coordination for investor-related activities, ensuring meetings, information and documentation are organised and delivered to agreed deadlines.

  • Organise leadership events, workshops and company-wide activities in collaboration with relevant teams.

Office Management & Employee Experience

  • Manage the Maidenhead office, maintaining a professional, welcoming environment and coordinating suppliers, landlords and facilities providers.

  • Oversee office supplies, equipment, refreshments and general workplace requirements.

  • Coordinate facilities maintenance, repairs and office improvements, ensuring issues are addressed promptly.

  • Ensure meeting rooms, reception areas and communal spaces are maintained to a high standard.

  • Coordinate office logistics, visitor arrangements and workplace requirements to support employees and business activities.

  • Support employee engagement initiatives, company events and activities in collaboration with the People team.

General Business Support

  • Support with ad hoc coordination and business activities as required.

  • Identify opportunities to improve administrative processes, office operations and ways of working.

  • Undertake other reasonable duties appropriate to the role in response to changing business needs.

Knowledge, Skills & Experience

Essential

  • Strong experience in an Executive Assistant or similar role supporting senior leadership.

  • Proven experience supporting a CEO, Managing Director or other senior executives.

  • Strong organisational and administrative capabilities, with excellent attention to detail.

  • Excellent written and verbal communication skills.

  • A high level of discretion, integrity and professionalism when handling confidential information.

  • Strong Microsoft 365 skills, including Outlook, Word, Excel, PowerPoint and Teams.

  • Ability to work independently, anticipate requirements and manage competing priorities effectively.

  • A proactive, solutions-focused approach, with the ability to anticipate needs, exercise sound judgement, resolve issues independently and take initiative.

  • Strong interpersonal skills and the ability to build effective relationships across all levels of an organisation.
