About the Role:

We are successful property investment & development business looking for an experienced, highly organised and tech-confident Senior Office Administrator to provide high-quality administrative support. This is a varied and responsible role for someone who enjoys being at the centre of a busy business. You’ll work closely with the management team and wider staff, taking ownership of day-to-day administration while also helping to coordinate projects, improve systems and introduce smarter ways of working. We’re particularly looking for someone who is highly computer literate and AI savvy — someone who is naturally curious about technology and confident using digital tools and AI to improve productivity, organisation and efficiency.

Key Responsibilities:

  • Manage day-to-day office administration and provide support to the management team including coordinate diaries, organise meetings, company events, staff activities & ad-hoc projects
  • Coordinate internal projects, maintaining project plans, actions, deadlines and progress updates
  • Follow up with colleagues and external parties to ensure agreed actions are completed
  • Prepare professional letters, documents, reports, presentations and spreadsheets
  • Maintain accurate company records, databases and filing systems
  • Process purchase orders and other administration including HR & recruitment.
  • Liaise professionally with customers, suppliers, contractors and other external contacts
  • Order office supplies and coordinate equipment and maintenance
  • Maintain company policies and health & safety documentation
  • Use AI and digital tools appropriately to streamline administrative tasks, research, organise information and improve productivity
  • Help identify, test and implement new systems, software and more efficient ways of working
  • Quality & compliance: Support the maintenance and continual improvement of the company’s Quality Management System (QMS), including ISO 9001 processes, document control, procedures, records and internal compliance.

About you

We’re looking for someone who is:

  • An experienced senior administrator or project coordinator, ideally within a busy commercial environment
  • Highly computer literate and confident learning new software and systems
  • AI savvy, with a practical understanding of tools such as ChatGPT, Microsoft Copilot or similar AI platforms
  • Confident using Microsoft Office, particularly Excel, Word, Outlook and PowerPoint & Share point
  • Highly organised with excellent attention to detail
  • Comfortable coordinating projects and keeping multiple people, actions and deadlines on track
  • Able to prioritise effectively and manage several pieces of work at the same time
  • Proactive, resourceful and comfortable taking ownership rather than waiting to be instructed
  • Comfortable handling confidential and sensitive information
  • Able to work independently while also supporting the wider team
