Fire & Security Projects / Installation Coordinator

Cornerstone Group are currently looking for a Projects / Installation Coordinator preferably with knowledge of fire & Security alarm systems to work out of our Stevenage Head Office.

The applicant would ideally have the understanding & skills in administration of project related system installation works including Fire Alarm Systems, access control, intercom, CCTV and intruder systems.

Key Tasks and Responsibilities.

· To assist the Engineering department with the administration delivery of all Fire & Security works as

· required.

· Monitor and manage the related Cornerstone email inboxes.

· To onboard and assist with the compilation and maintaining of all Projects/ Installation works documentation as required using the office management systems.

· Coordinate all written and verbal communications between the engineering department and customer services departments, including regular updates to ensure all Account managers are kept informed of the status of small works project delivery.

· Coordinate all relevant pre and post installation information and documentation required to effectively

· manage and deliver work/ projects on time.

· Managing & allocating work for Installation engineers.

· Liaise directly with the client to schedule and deliver the project.

· Update Internal and Projects Summary Sheet to ensure timely monthly invoicing.

· Updating of Project folders/O&M manuals & Engineer packs.

· Monitor and manage 3rd party customer portals where required, such as Procore where required and act upon any items requiring action.

· To assist with the Stores & Procurement processes to ensure all equipment and materials requests are dealt with in a timely fashion to support ongoing works.

· Ensuring all client and System Asset details are correct, current, and kept up to date.

· Raising of invoicing / Applications associated with works in progress, completed works and invoice

· retention are effectively managed.

· To provide assistance and support to the Service scheduling Team as may occasionally be required.

· Reporting of any financial or Engineering Labour discrepancies for any assigned projects or small works in a timely manor.

· Liaise directly with the client to schedule and deliver the project.

· Arrange and schedule installation/commissioning labour and sub-contract labour.

· Update Project folders/O&M manuals & Engineer packs.

Required Experience. 3+ years’ experience in the fire and security sector as an operational administrator. Ability to prioritize workload and work well within a team and individually as required. Ability to work to tight deadlines. Ability to efficiently manage a mobile engineering team and their daily tasks. Excellent Microsoft office 365 suite skills. Excellent communication skills for dealing with clients.

Preferred Experience.

Familiarity of Fire & Security Industry & Industry terminology.

CRM Systems

Xero Accounting.

NSI / BAFE Documentation.

Working Hours:

FULL TIME ROLE. Monday to Friday (08:00-16:00 or / and 09:00-17:00) based on 37 ½ Hours per week (Full Time) excluding public holidays.

Place of Works:

Cornerstone office in Stevenage five days per week. However, following the successful completion of a probation period, some home working will be considered.

Salary:

BAND 2: £ 29.5k+ (subject to experience).

Probation Period. Six months.
