Full job description

Join Homeless Oxfordshire as our Database Administrator and help drive meaningful change through data. You will play a vital role in supporting fundraising success by managing and developing our Raiser’s Edge NXT CRM, ensuring data accuracy, producing insightful reports, and maintaining compliance with data protection regulations. Working closely with fundraising, finance, and marketing & communications teams, you will enable data-driven decision-making that strengthens supporter engagement and maximises income. Main Purpose Of The Job:

As the Database Administrator, you will play a key role in supporting the fundraising team by maintaining our fundraising CRM systems, producing timely insight and analysis, supporting compliance with data protection and fundraising regulations, and enabling data-driven strategies that support the Homeless Oxfordshire’s mission.

Main Areas Of Responsibility:

CRM and Data Management

  • Administer and maintain the fundraising CRM system (Raiser’s Edge NXT), ensuring data is accurate, complete, and up to date.
  • Create, update, and maintain donor, supporter, and stakeholder records in line with organisational policies and data standards.
  • Ensure all income is accurately recorded, coded and reconciled.
  • Complete the monthly income reconciliation process, working closely with finance colleagues to ensure accuracy and consistency.
  • Maintain data integrity through regular audits, de-duplication, and quality assurance processes.
  • Always ensure the confidential and secure handling of sensitive supporter information.

Reporting and Analysis

  • Produce regular and ad hoc fundraising reports, dashboards, and analytics to monitor performance against targets.
  • Generate campaign, appeal, and event reports, providing insight into performance trends and opportunities.

Compliance and Communications

  • Ensure supporter data is maintained in compliance with relevant legislation and best practice, including UK GDPR and PECR requirements.
  • Maintain supporter communication preferences and consent records.
  • Ensure supporter data is integrated with marketing platforms such as Mailchimp to support fundraising communications and campaigns.

Collaboration and Support

  • Work collaboratively with fundraising, finance, marketing, and other internal teams to align data processes with organisational objectives.
  • Provide wider organisational support, as required, with data management, reporting, and administrative tasks outside the fundraising function.
