About Us
Maddox Construction Services is a specialist rail contractor delivering high-volume minor works packages across Network Rail assets, typically ranging from £5,000 to £100,000 per project.
With over 20 years’ experience in the rail sector, we have built strong, long-term relationships with Tier 1 contractors through a reputation for safety, compliance and reliable delivery.
We operate a lean, delivery-focused structure, coordinating in-house labour and specialist subcontractors while maintaining strict control over project delivery and documentation. As our workload continues to grow, we are strengthening our internal team to support a more structured and controlled operation.
The Opportunity
We are seeking a proactive and highly organised Project Coordinator to support the delivery of multiple live works packages.
This is a hands-on coordination role focused on managing a high volume of smaller projects running concurrently, rather than a single standalone project.
You will be working in a fast-moving environment where priorities can change quickly, and multiple deadlines need to be managed at the same time. This is not a purely administrative or reporting role — it requires someone who can take ownership, keep things moving, and ensure nothing is missed.
You will play a key role in ensuring works are delivered safely, efficiently, and in line with client and compliance requirements.
The Role
You will:
- Coordinate the delivery of 5–10 concurrent minor works packages.
- Take ownership of project coordination tasks, ensuring paperwork, logistics and follow-ups are completed without the need for constant direction.
- Assist in drafting, reviewing and issuing RAMS and compliance documentation, ensuring they are clear, accurate and aligned with requirements.
- Organise and maintain site folders, delivery documentation, and project handback records.
- Liaise with clients, subcontractors and internal teams to coordinate site readiness and access.
- Proactively chase subcontractors and suppliers to ensure deadlines and milestones are met.
- Arrange and coordinate plant, materials, training, accommodation and deliveries ahead of works.
- Track and manage material orders, deliveries and returns across multiple projects.
- Maintain and update the live operations board to give clear visibility of ongoing and upcoming works.
- Keep project records structured, organised and up to date.
- Track actions and ensure tasks are followed through to completion.
- Identify opportunities to improve systems, tracking and document control.
Typical tasks include:
- Preparing site packs ahead of works
- Chasing outstanding information or approvals
- Coordinating deliveries and access requirements
- Ensuring all documentation is in place before teams arrive on site

- Projects are organised and under control, with clear and accurate documentation.
- Deadlines are consistently met because follow-ups are handled proactively.
- RAMS and project documentation are issued correctly and on time.
- Site teams arrive with everything they need — no last-minute issues.
- The live operations board reflects an accurate, real-time view of works.
- Multiple projects are coordinated effectively without tasks being missed.
- The delivery team is supported with clear, structured and reliable information.
Experience Required
- 3+ years’ experience in a Project Coordinator, Project Administrator, or similar role.
- Experience working across multiple projects or work packages at the same time.
- Strong organisational skills with the ability to manage documentation and track actions.
- Experience preparing or coordinating project documentation (RAMS, compliance, site documentation or similar).
- Comfortable working in a fast-paced environment with changing priorities.
- Able to work independently, take initiative, and solve problems without needing step-by-step instruction.
- Experience coordinating logistics such as materials, plant, accommodation or training.
- Strong communication skills when dealing with multiple stakeholders.
- Proficient in Microsoft Office (Excel, Word, Outlook).
- High attention to detail and ability to follow tasks through to completion.
