The Opportunity
We are looking for a dynamic and experienced Clinic Manager to join our team and take on a key senior leadership role. As the heart of our daily operations, you will be responsible for maintaining the high standards that define our brand. You will lead our talented team and ensure every client receives the warm, concierge-level service we are known for, while also driving the clinic's commercial success and regulatory compliance.
Key Responsibilities
- Lead, coach, and develop Front of House, supporting staff, and clinicians; run 1:1s, appraisals, and fair performance management.
- Recruit inclusively and onboard effectively; design rotas and workforce plans to ensure safe staffing and punctual clinics.
- Champion a five‑star, discreet client journey end‑to‑end; personally handle VIP bookings and sensitive cases with absolute confidentiality.
- Track and improve service KPIs (NPS, re‑booking, wait times, complaint resolution) with clear action plans.
- Maintain clinical governance and regulatory compliance (CQC, where applicable) with live SOPs, audits, and a risk register.
- Ensure UK GDPR/data protection and consent for records, photography, and marketing; uphold CAP/ASA advertising rules, including no public promotion of prescription‑only medicines (POMs).
- Oversee laser/IPL governance and health & safety (Local Rules with LPA/LPS, COSHH, RIDDOR, fire safety), keeping the clinic inspection‑ready.
- Deliver the budget with the Founder; manage P&L levers, pricing discipline, cost control, and margin optimization.
- Maximize diary utilization and capacity; optimize practitioner mix, room occupancy, and lead conversion while reducing no‑shows/cancellations.
- Manage inventory and suppliers end‑to‑end; protect cold‑chain items, minimize shrinkage, and maintain target days‑of‑cover.
- Operate EMR/CRM and reporting dashboards; produce accurate weekly/monthly reports and convert insights into actions.
- Coordinate compliant brand events, partnerships, and content (case studies; before/after with consent) that reinforce our luxury positioning.
- Maintain pristine facilities and preventative maintenance schedules; supervise contractors and resolve defects promptly.
- Safeguard insurance, indemnities, licenses, and vendor contracts
- Lead transparent complaint handling and incident investigations; complete root‑cause analyses and close corrective actions.
- Keep the training matrix current (H&S, safeguarding, BLS/first aid, IPC, data protection) and support CPD across the team.
Candidate Profile
- Minimum Qualification: A Bachelor's degree from a recognized university. Preferably, an advanced degree or designation in a relevant medical or business field.
- Minimum of 5 years experience in clinic / healthcare management, ideally within a reputable, doctor-led aesthetic or medical clinic.
- Proven track record in driving sales and operational excellence within a private healthcare or aesthetics environment.
- Strong leadership and people management skills; confident in leading multi-disciplinary teams, including medical professionals and administrative staff.
- Highly commercial, with excellent analytical, reporting, and strategic planning abilities.
- Proactive, hands-on, and highly organized, and capable of operating autonomously within a fast-paced clinic setting.
- Deep understanding of CQC compliance, clinical governance, and patient safety protocols.
- Tech-savvy, with strong IT skills (Excel, MS Office, Outlook); experience with clinic management or CRM systems (such as Phorest) is highly advantageous.
- Excellent written and verbal communication skills (must be fluent in English at a native speaker level)
- Preferably a registered UK prescriber
