Overview
We are seeking a detail-oriented and proactive Dispatch Specialist to join our logistics team at our facilities in LHR, EMA, and STN. The successful candidate will play a vital role in coordinating shipments, managing transportation schedules, and ensuring seamless communication across all stages of the supply chain. This role offers an excellent opportunity for individuals with strong organisational and analytical skills to contribute to efficient logistics operations within a dynamic environment. Prior experience with transportation management systems and supply chain processes is highly desirable.

Responsibilities

1. Transport Planning & Vehicle Scheduling

  • Plan and execute daily inbound and outbound transport schedules.
  • Allocate vehicles and drivers based on shipment volumes, cut-off times, and operational priorities.
  • Ensure transport plans are aligned with warehouse operations and flight schedules.

2. Route & Capacity Management

  • Optimise transport routes to improve efficiency, control costs, and maintain on-time performance.
  • Monitor vehicle utilisation and adjust transport plans according to operational requirements.
  • Manage transport capacity during both peak and off-peak periods.

3. Driver & Vendor Coordination

  • Coordinate with drivers and transport vendors to ensure timely arrivals, loading, and departures.
  • Communicate loading instructions, schedules, and site requirements clearly to drivers.
  • Ensure compliance with site rules, safety standards, and legal requirements.

4. Real-Time Monitoring & Exception Handling

  • Monitor vehicle movements and transport progress in real time.
  • Manage operational exceptions including delays, vehicle breakdowns, missed cut-offs, and route deviations.
  • Escalate critical issues and support resolution when required.

5. SLA & KPI Support

  • Ensure transport activities meet defined SLA and on-time delivery targets.
  • Track and analyse transport KPIs including on-time performance, vehicle utilisation, and exception rates.
  • Support performance reviews and continuous improvement initiatives.

6. Documentation & System Management

  • Maintain accurate and timely updates within transport management systems.
  • Keep records of vehicle movements, delivery confirmations, and operational exceptions.
  • Ensure data accuracy to support reporting, analysis, and vendor billing processes.

7. Safety & Compliance

  • Ensure transport operations comply with UK transport regulations and company safety standards.
  • Report safety incidents, accidents, near misses, and compliance concerns.
  • Promote safe driving practices and site safety awareness.

8. Continuous Improvement

  • Identify opportunities to improve transport efficiency and reduce operational costs.
  • Provide feedback to management on operational challenges and improvement opportunities.
  • Support new route implementations, site launches, and operational changes.

Qualifications

  • Fluent in both Mandarin Chinese and English, with the ability to communicate effectively with internal teams, drivers, transport vendors, and external stakeholders.
  • Previous experience in transport planning, vehicle dispatching, logistics coordination, or transportation operations.
  • Experience in airport collections, air freight operations, or cargo transportation coordination is highly desirable.
  • Good understanding of air freight, ocean freight, and transport operations, including key logistics milestones and service requirements.
  • Strong problem-solving and exception management skills, with the ability to identify operational issues and implement effective solutions.
  • Excellent communication and coordination skills, capable of working in a fast-paced operational environment.
  • Quick learner with the ability to adapt to new systems, processes, and operational requirements.
  • Continuous improvement mindset with the ability to identify process improvement opportunities and drive operational efficiencies.
  • Reliable, proactive, and able to work independently as well as collaboratively within a team.
  • Flexible to work a rotating shift pattern consisting of two weeks of day shifts followed by one week of night shifts, with night shifts available for remote working.
  • Willing to work five days per week with non-fixed rest days, including weekends when required.
  • Able to work from one of the following locations: EMA (East Midlands Airport), LHR (Heathrow Airport), or STN (Stansted Airport).

Pay: From £29,000.00 per year
