Role Purpose

The DC Specialist is a key operational role responsible for maintaining efficient flow, accuracy, cost control, and data-driven performance across the Distribution Centre relating to the customer returns. Specialists act as central points of operational knowledge, supporting Managers, Supervisors, Operatives, Customers and Stakeholders with clear communication, reliable information and consistent process clarity.

Specialists are embedded in daily operations and play a critical part in preventing repeat issues, analysing data trends, supporting continuous improvement and ensuring work moves seamlessly between teams.

The Returns / QAQC Specialist ensures returns are processed accurately and on time, inbound quality standards are upheld, and fulfilment expectations are met. They contribute directly to the DC’s efficiency, cost management, customer satisfaction and operational reliability.

The role should bring ‘value add’ in terms of looking at ways to improve performance to help drive efficiencies and cost reductions to the business.

Role Overview

The DC Specialist oversees two critical operational aspects;

  • Returns; manages ecommerce and B2B returns within agreed timelines, validates condition and accuracy, and maintains precise documentation.
  • Inbound performing QA/QC checks on inbound SKUs, packaging, weights and dimensions, supporting wider business quality expectations.

Specialists work closely with DC teams to maintain flow, accuracy, cost-effective operations, and compliance, providing clear communication, early escalation and reliable operational data.

Additionally, beyond these two aspects they support fulfillment of OTIF requirements and contribute to HYHU reporting and continuous improvement through data analysis and trend identification.

Key Responsibilities

Continuous Improvement & Problem Solving

  • Use data and returns trends to identify defects, delays, repeat issues and cost drivers.
  • Escalate risks early and support corrective actions.
  • Apply HYHU principles consistently and visibly.
  • Contribute to simple, efficient, cost-effective ways of working and continuous improvement activity.

Collaboration & Flexibility

  • Work closely with the Shift Supervisor, Duty Manager and other Specialists.
  • Support cross-functional teams with accurate information that improves flow and reduces cost.
  • Provide flexibility during peak periods or absences.
  • Escalate nonstandard requests that cannot be delivered safely, accurately or cost-effectively.

Returns Processing

  • Process ecommerce returns within 48 working hours.
  • Process B2B returns within agreed timelines.
  • Validate return contents, condition and supporting documentation.
  • Highlight discrepancies in quantity, condition and expectation.
  • Maintain accurate returns documentation and system updates.
  • Provide KPI data for processing times, defect trends and cost-impacting issues.
  • Liaising with the customer support team and finance teams for processing refunds as needed.

QA/QC

  • Perform QA/QC checks on inbound SKUs, packaging, weights and dimensions.
  • Conduct snap checks for quality and packaging accuracy.
  • Support wider QA/QC business requirements as needed.
  • Escalate defects, discrepancies or risks promptly and factually, including cost-impacting issues.

Fulfilment & Flow

  • Support fulfilment OTIF expectations through accurate documentation and updates.
  • Maintain efficient flow by providing timely, reliable information to GI/Putaway, Inventory and other teams.
  • Ensure system updates are accurate and completed promptly to prevent delays and unnecessary cost.
  • Support other DC operational areas when required.

People & Communication

  • Communicate clearly with Customer Services, Sales, Inventory and DC management.
  • Provide factual, unbiased information to support operational and cost-related decisions.
  • Maintain timely, accurate HYHU reporting with data insights.
  • Support training and development of colleagues when required.

Health, Safety & Compliance

  • Maintain safe working practices within returns and QA/QC activities.
  • Identify hazards and escalate promptly to the Shift Supervisor or Duty Manager.
  • Support H&S investigations with accurate operational data.
  • Follow agreed safe systems of work at all times.

  • Strong HYHU reporting with clear data insights and early escalation of returns and QA/QC risks.
  • Accurate, timely processing of ecommerce and B2B returns that supports efficient flow and cost control.
  • Clear fulfilment and OTIF support through precise documentation and updates.
  • Reliable QA/QC checks with low defects, accurate inbound validation and reduced cost of failure.
  • Effective cooperation with all DC teams, demonstrating strong communication and a collaborative, team-focused approach.
  • Visible contribution to continuous improvement through analysing data, identifying trends, preventing repeat issues and supporting efficient, cost-effective ways of working.
  • A proactive, ambitious mindset with a clear desire to develop skills and progress within the business.
