Full job description

Location: Princes Risborough – Hybrid (at least 2 days in the office per week)

Part Time - 32 hours per week

Salary: £32,000 – £35,000 FTE (pro rata for 32 hours per week)

This is an excellent opportunity to join a collaborative and supportive People team, gaining valuable generalist HR experience while contributing to the success of a growing Social Enterprise. The role is ideally suited to a detail-oriented and data-savvy HR/People professional who holds, or is currently working towards, a CIPD Level 3 qualification and is keen to further develop a broad and rewarding career within Human Resources.

The successful candidate will ideally have previous experience working within a People or HR team and be confident in following established HR processes. This includes supporting with sickness absence management, probation reviews, and employee relations administration, while ensuring accuracy, professionalism, and compliance with organisational policies and procedures.

This role offers a fantastic opportunity to build on existing HR knowledge, develop new skills, and work closely with colleagues across the organisation in a varied and rewarding position.

Our People & Recruitment Coordinator will play a key role in delivering a professional and high-quality people service across FedBucks, supporting recruitment, workforce administration and People Team objectives.

The role is responsible for coordinating end-to-end recruitment and onboarding activities, ensuring a positive candidate experience and supporting recruitment attraction initiatives. Working closely with hiring managers, the post holder will help attract, recruit and retain high-quality clinical and non-clinical employees.

The People & Recruitment Coordinator will support a range of HR processes, including HR administration, employee records, payroll administration, sickness absence management, employee relations processes, workforce reporting and people data. The role will ensure accurate records are maintained, provide management information and support the efficient delivery of People Team activities.

As a key point of contact for managers, employees and candidates, the post holder will build positive working relationships, provide excellent customer service and contribute to a positive employee experience across the organisation.

Responsibilities:

Recruitment, Attraction & Onboarding

· Support the delivery of recruitment and retention activities in line with organisational values and objectives.

· Coordinate recruitment campaigns, including advertising vacancies, attending recruitment events and promoting FedBucks as an employer of choice.

· Source, screen and progress candidates through the recruitment process, working closely with hiring managers.

· Arrange and support interviews, employment offers and pre-employment checks.

· Coordinate onboarding activities to ensure new starters have a positive and well-organised induction.

· Arrange inductions, welcome meetings and equipment requests for new employees.

· Maintain accurate recruitment and employee records.

· Manage recruitment and HR systems, ensuring data is accurate and up to date.

· Support internal communications relating to recruitment and new starters.

People Coordination

· Schedule meetings, coordinate training sessions, and maintain employee documentation.

· Handle routine internal and external enquiries, escalating complex matters to the appropriate People Partner.

· Maintain accurate and up-to-date employee records within the HR Information System (HRIS).

· Prepare, issue and maintain HR documentation, including offer letters, employment contracts and contractual change letters.

· Ensure personnel files are maintained in line with UK employment legislation, GDPR requirements and CQC standards.

· Maintain sickness absence records and ensure appropriate documentation and processes are completed.

· Support the administration of employee leaver processes, including exit interviews and associated documentation.

· Support the administration of performance and salary review processes.

· Contribute to the continuous improvement of HR policies, procedures and processes.

· Act as a key support to the People Director, Senior People Manager and People Business Partner across a range of operational activities and People-related projects.

· Ensure that People practices comply with employment law and organisational policies.

· The post holder may be required to undertake other duties appropriate to the role, as directed by their line manager or People Director, to support the needs of the organisation.

People KPIs, Data and Reporting

· Produce regular people metrics and reports, including recruitment, turnover, sickness absence and workforce data.

· Maintain accurate HR data and ensure information is recorded consistently within HR systems.

· Support the People Team with workforce reporting and management information requests.

· Monitor data trends and highlight anomalies or areas requiring attention.

· Develop and maintain reporting dashboards, spreadsheets and tracker logs as required.

· Support compliance reporting and people audits, ensuring data accuracy and completeness.

Employee Relations

· Provide first line support and advice on employee relations matters, including disciplinaries, grievances, absence management, probation and performance.

· Attend and support investigations, disciplinary and grievance meetings, preparing accurate notes and documentation.

· Support the administration and coordination of employee relations processes and documentation in line with company policy, employment law and best practice, including sickness absence, probation, disciplinary, grievance and performance management procedures.

· Assist with employee communications and support managers with routine people processes.

· Ensure compliance with organisational policies and procedures, escalating complex matters to the appropriate People Partner.

Person Specification

Essential

  • Minimum of 2 years' experience within an HR, People or Recruitment role.
  • Experience coordinating end-to-end recruitment and onboarding processes.
  • Experience maintaining HR systems, employee records and personnel files.
  • Experience producing HR reports, workforce data and management information.
  • Experience supporting people processes, including sickness absence, probation reviews and employee relations administration.
  • Experience handling confidential and sensitive employee information.
  • Experience building positive working relationships with managers, employees and external stakeholders.

Desirable

  • CIPD Level 3 qualification or equivalent.
  • Working towards CIPD Level 5 qualification
  • Qualification in Human Resources, Business Administration, Recruitment or a related field.
  • Experience within a healthcare, NHS, primary care or regulated environment.
  • Experience processing DBS, Right to Work and employment checks.
  • Experience supporting employee engagement initiatives, recruitment events or attraction campaigns.
