Administrator

Role: Administrator
Responsible to: Service Manager
Hours per week: 37.5 hours
Salary: Dependent on experience
Contract Type: 1-year fixed term

Job Summary

We are looking for an experienced Administrator to join our GP Federation, providing high-quality administrative support across a range of services.

The successful candidate will play a key role in ensuring smooth operations in various areas, including Workflow Solutions, Prescribing Solutions, PCN administration, and reception duties at the UTC. You will also support other services such as CRM and UCR clinics.

Key Responsibilities

  • Patient Interaction & Bookings
  • Answer incoming calls, collect patient information, and book them into the appropriate service or clinic.

Service Coordination

  • Schedule appointments for various services across the federation.
  • Transfer requests and coordinate patient flow as required.

Incident & Complaint Documentation

  • Accurately record and document any incidents or complaints.
  • Ensure issues are escalated and addressed in a timely manner.

Work Audits

  • Conduct regular audits of your own work to ensure accuracy and efficiency.

Collaboration with Healthcare Professionals

  • Communicate with GPs, pharmacists, and other healthcare providers.
  • Ensure seamless delivery of patient care.

Patient Engagement

  • Engage with patients in a friendly and professional manner.
  • Actively listen to their concerns and ensure they receive appropriate support.

Ad-Hoc Duties

  • Provide support across all federation services as required, including CRM and UCR clinics.

Required Skills

  • High level of attention to detail and accuracy.
  • Ability to work independently without supervision.
  • Exceptional communication and customer service skills.
  • Ability to handle challenging situations calmly and professionally.
  • Technical skills, including proficiency with Microsoft Office.
  • Experience with EMIS and Docman desirable but not essential.
  • Strong record-keeping and documentation skills.
  • Ability to multitask and manage varied responsibilities efficiently.
  • Ability to handle confidential information with discretion.
  • Strong team player, able to collaborate with colleagues and healthcare professionals.
  • Confident in presenting audit results and reports.

Other Requirements

  • Meets DBS reference standards with a clear criminal record in line with spent convictions law.
  • Willingness to work flexible hours, including occasional evenings and weekends.
  • Access to own transport for travel between locations within the federation.
  • Previous contact centre experience advantageous but not essential.
