Catering Event Manager
Harry Fraser Catering Services Ltd is looking for an experienced, organised and enthusiastic Catering Event Manager to join our team in Inverurie.
With over 45 years of experience in outside catering, we deliver events across Aberdeen, Aberdeenshire and further afield, ranging from private dinners and weddings to corporate events, charity functions, sporting events, festivals and large-scale functions for hundreds or even thousands of guests.
This is a hands-on role for someone who enjoys being at the centre of an event, coordinating staff, clients, suppliers and logistics to make sure everything runs smoothly from preparation through to final clear-down.
The Role
As Catering Event Manager, you will take responsibility for the planning and delivery of a wide variety of events.
You will work closely with our operations and kitchen teams, clients, venues and suppliers to ensure every event is properly prepared, professionally delivered and completed to the high standards expected from Harry Fraser Catering.
No two weeks are the same. One event may be an intimate private dinner, followed by a wedding for 150 guests, a corporate dinner, barbecue, sporting event or a large outdoor function.
The role requires someone who is organised, confident, practical and able to remain calm when plans change.
Key Responsibilities
- Planning and coordinating catering events from initial preparation through to completion
- Liaising with clients to confirm timings, menus, guest numbers, dietary requirements, drinks arrangements and other event requirements
- Preparing detailed event plans, staffing requirements, equipment lists and service schedules
- Coordinating with venues, suppliers and other event contractors
- Managing event setup, including dining areas, bars, catering equipment and service stations
- Briefing and supervising waiting staff, bar staff and other event team members
- Managing food and drink service to ensure events run efficiently and professionally
- Monitoring timings throughout the event and adapting where necessary
- Ensuring high standards of presentation, customer service and hospitality are maintained
- Supporting the kitchen and operations teams with event logistics, loading, deliveries and equipment where required
- Managing event breakdown and ensuring equipment is returned, checked and organised following events
- Building strong relationships with clients, venues and suppliers
- Identifying opportunities to enhance events through additional catering, drinks or service options where appropriate
- Maintaining accurate event information and communicating any changes clearly to the wider team
- Assisting with several events taking place across different locations during busy periods
About You
We are looking for someone with previous experience in hospitality, catering, hotels, restaurants, banqueting or event management.
You should be comfortable taking responsibility for an event and confident dealing with clients, staff and suppliers.
You will ideally have:
- Previous experience managing catering, hospitality or events
- Strong organisational and time-management skills
- Excellent communication and customer service skills
- Experience supervising and motivating teams
- A practical, hands-on approach
- The ability to think quickly and solve problems during live events
- Good attention to detail
- Confidence working with clients and venue representatives
- The ability to manage several priorities at the same time
- A good understanding of professional food and beverage service
- Basic computer and administration skills
- A full clean UK driving licence
Experience of weddings, outside catering, large-scale events, corporate hospitality or licensed bar operations would be particularly beneficial.
Working Hours
Outside catering is not a Monday-to-Friday, nine-to-five environment.
The successful candidate must be flexible and available to work evenings and weekends, particularly during our busiest event periods.
Hours will vary depending on the event schedule, and the role will involve working both from our Inverurie base and at venues throughout the North-East of Scotland and occasionally further afield.
