Event Manager (Volunteer) – Hilton Convention Centre

Hilton Convention Centre is a hidden gem in the heart of Woodside, Aberdeen. We provide a welcoming and versatile venue for private celebrations, corporate functions, community events, conferences, workshops, fitness activities, and much more..

As our centre continues to grow, we are looking for a passionate and organised Volunteer Event Manager to help clients bring their events to life while supporting the continued success of our community venue.

This is an excellent opportunity for someone looking to gain hands-on experience in event management, hospitality, customer service, and venue operations.

We are now seeking for volunteer Event Manager to help the centre cater more to the costumers needs of organising the event on their behalf.

Overview

As our Volunteer Event Manager, you will play a key role in planning and coordinating a variety of events from initial enquiry through to successful delivery. You'll work closely with clients, suppliers, volunteers, and the venue team to ensure every event runs smoothly and exceeds expectations. Whether it's a birthday celebration, corporate conference, charity fundraiser, community gathering, or fitness event, you'll help create memorable experiences for our customers.

Key Responsibilities

  • Meet with clients to understand their event requirements and provide planning support.
  • Coordinate all aspects of event planning, including timelines, logistics, suppliers, room layouts, and equipment requirements.
  • Prepare event schedules and ensure all arrangements are in place before each event.
  • Liaise with decorators, caterers, entertainers, photographers, and other suppliers where required.
  • Coordinate event setup and oversee activities on the day to ensure everything runs smoothly.
  • Welcome clients and guests, delivering excellent customer service throughout their event.
  • Manage registrations, guest lists, ticketing, and attendee enquiries where applicable.
  • Promote additional venue services and event packages to enhance the customer experience.
  • Work alongside volunteers and staff to ensure events are delivered efficiently.
  • Assist with community events, fundraising activities, and promotional events hosted by the centre.
  • Maintain accurate event records, budgets, and planning documentation.

This role provides valuable experience in event management within a supportive environment dedicated to community engagement and organisational success.
