About Valorem Distribution

Valorem Distribution manages the manufacturing, distribution, regulatory compliance and product safety of a portfolio of perfume and cosmetic brands sold across international markets. We work closely with our brand partners to bring compliant, high-quality products to market.

The Role

We are looking for a Regulatory Affairs Manager to take ownership of product registration, product safety and regulatory compliance across our portfolio of perfume and cosmetic brands, including client brands. The brands sell internationally, so the role spans the regulatory regimes of the markets they enter.

The Valorem Group acts as the Responsible Person for the products it places on the market. In this role you will ensure that the Valorem Group fulfils its obligations as the Responsible Person, making sure product information files, safety assessments, notifications, labelling and ingredient compliance are accurate, complete and kept up to date.

This is a cross-functional position. Internally you will work with sales, production, operations and other teams; externally you will be a key point of contact for our brand partners on all regulatory and compliance matters.

Key Responsibilities

Product safety & compliance

  • Compile, maintain and quality-check the safety and product information documentation required for each product.
  • Review and sign off product labelling and packaging artwork for regulatory compliance (ingredient/INCI lists, claims, warnings, mandatory information, language requirements).
  • Assess ingredient and formulation compliance against applicable restrictions, prohibitions and concentration limits, and liaise with safety assessors and suppliers as required.
  • Monitor regulatory developments across relevant markets and assess their impact on the portfolio, advising the business on required actions.
  • Support new product launches and product re-formulations, ensuring safety, compliance and testing is completed in line with launch dates.
  • Design and maintain dashboards to enable senior management to track compliance positions of products.
  • Work with partners and assessment bodies to provide certification to support ethical consumerism.
  • Support client brands on all elements of the above, where required.
  • Ensure the QC team is provided with all relevant compliance information.

Product registration & notifications

  • Manage the registration and notification of cosmetic and perfume products across the international markets the brands sell into.
  • Maintain accurate, audit-ready records of all registrations, notifications and their renewal or update obligations.
  • Update all key distribution contacts with appropriate documentation following re-formulation of existing products and new product launches, as well as packaging updates.
  • Liaise with certification bodies such as the Chamber of Commerce to ensure all registration notary actions are complied with.
  • Work with client brands and client distribution partners, assisting and advising on product registration activities.

Supporting the Valorem Group as the Responsible Person

  • Carry out the day-to-day compliance activities that enable Valorem Distribution to meet its obligations as the Responsible Person, including record-keeping, traceability and document control.
  • Support post-market product safety monitoring, including the handling and recording of product complaints and adverse reactions, and any associated reporting.
  • Contribute to readiness for, and response to, market surveillance authority enquiries, audits and corrective actions (including any recalls or withdrawals).
  • Maintain EU and UK portal registrations

Collaboration & communication

  • Work with internal teams (sales, production, operations and others) to embed compliance into product development, launches and ongoing supply.
  • Act as the external regulatory and compliance point of contact for brand partners, providing clear and timely guidance.

Process & continuous improvement

  • Develop and improve compliance processes, templates and systems, including the use of AI tools to increase accuracy and efficiency.

Required Skills & Experience

  • Prior experience with cosmetic compliance - product registration, product safety and regulatory compliance, and in supporting or acting within a Responsible Person framework.
  • Knowledge and experience with cosmetic compliance across international markets.
  • Fluent written and verbal communication in English, equivalent to C1 level or higher.
  • Strong organisational skills and high attention to detail.
  • Strong interest in, and proficiency using, AI tools such as ChatGPT, Claude, Gemini or similar.
  • The right to work in the UK by the start date.
  • In-depth knowledge of product notification systems and product safety documentation.

Desirable Skills & Experience

  • Highly desirable: prior experience with fragrance compliance
  • A relevant scientific background (e.g. chemistry, toxicology or cosmetic science). This is desirable but not essential; relevant cosmetic compliance experience is valued equally.

Contract: Full-time, permanent

Pay Range: GBP 40-65K

Start date: As soon as possible

Pay: £45,000.00-£65,000.00 per year
