Summary of role
The Events Executive is a high-octane, logistically minded role designed to support the Group Events Manager in executing our ambitious global event strategy. You will be the operational backbone behind our presence at massive international consumer expos (Adepticon, UK Games Expo, Essen Spiel, Salute), critical B2B trade shows (GAMA), and local community pop-ups. This role demands exceptional multitasking, physical stamina, and the ability to seamlessly pivot between corporate trade environments and highly energetic consumer hobby halls.

Key Responsibilities & Day-to-Day Expectations

  • End-to-End Logistics Coordination: Assist in booking venue space, supporting design of stand footprints, organising international freight shipping/customs carnets, and securing staff travel and accommodation.
  • Inventory & Asset Management: Plan, pack, and track event-specific inventory, point-of-sale (POS) systems, prize support, and promotional materials. Ensure all assets return to the warehouse accounted for.
  • On-Site Build & Operation: Travel extensively to represent the Wyld Group. Lead or assist in physical booth builds, loading/unloading crates, setting up retail spaces, managing cash/digital POS terminals, and tearing down stands.
  • Stakeholder & Vendor Liaison: Act as a reliable point of contact for external convention organisers, local contractors (electricity, rigging, union labour), and internal group brands to ensure unified representation.
  • Staffing & Rota Administration: Assist in managing internal staff and volunteer rotas during shows, ensuring stands are always adequately crewed, and breaks are scheduled fairly.

A Typical Day Includes:

  • Morning coordination with freight forwarders to ensure pallets are cleared for a show in the USA (e.g., Adepticon).
  • Updating the master event spreadsheet with staff flight confirmations and hotel bookings.
  • Collaborating with Warcradle Studios to ensure the latest Armoured Clash studio-painted models are securely packed in transport cases.
  • Spending the afternoon in the warehouse prepping pallets of stock, banners, and POS equipment for UKGE.

Performance Measures (KPIs):

  • Logistical Deadlines: 100% on-time arrival of freight, booth assets, and staff to global events.
  • Budget Variance: Keeping variable event expenses (travel, local sourcing, emergency supplies) within a ±5% margin of the allocated show budget.
  • Retail Efficiency: Minimizing POS downtime and stock discrepancies during live consumer-facing show hours.

Requirements & Technical Skills

  • Experience: In event coordination, trade show operations, or live hospitality production (experience within the tabletop, toy, or video game sectors is highly valued).
  • Physical Capability: Must be physically fit and capable of standing/walking for extended periods during long convention days.
  • Travel Flexibility: Valid passport and absolute willingness to travel internationally and work irregular hours, including consecutive weekends during peak convention seasons (Spring/Autumn).
