Due to our continuous expansion, we are looking for a Fleet Administrator for our office in Heysham (UK). You will be part of an enthusiastic and driven team based in our Heysham office.

The Fleet Administrator is a pivotal support role within our Fleet Management Department. Joining our existing Fleet Administrator, you will be the administrative backbone for both our Technical and Marine Teams, ensuring the complex logistics of vessel management, procurement and safety reporting run like clockwork.

The role

  • Process purchase orders for vessel supplies, spare parts, and technical equipment.
  • Reconcile invoices against purchase orders and delivery notes to ensure billing accuracy.
  • Maintain professional relationships with vendors and track delivery timelines to ensure parts reach the vessels on schedule
  • Assist the Fleet Coordinator in monitoring department spend against monthly budgets.
  • Maintain organised digital and physical records for vessel certifications, safety manuals and technical drawings.
  • Arrange travel or local logistics for technical / marine colleagues or outside contractors etc. visiting site.
  • Assist the marine team with administrative tasks related to vessel personnel or compliance documentation
  • Manage the database for vessel defect reporting and accident/incident logs, ensuring all data is captured accurately for auditing purposes.
  • Update maintenance schedules and purchasing logs to provide the technical team with real-time visibility of fleet status
  • Assist in gathering documentation for internal and external maritime audits and inspections
  • Manage departmental correspondence, filing systems and general office tasks to support the wider Fleet Management team.
  • General administrative tasks such as scheduling meetings, note taking, answering the telephone and in general having good IT skills, including Microsoft office 365
  • Perform other duties as assigned; other duties will be reasonable in relation to the post holders’ skills and abilities

Your Profile

  • Previous experience in a technical administration, shipping or logistics environment is highly desirable
  • High level of accuracy in data entry and financial processing (invoicing/procurement).
  • Strong communicator: ability to communicate effectively with diverse teams, from ship-based personnel to external suppliers. Fluent in both written and spoken English.
  • It is important you have a good work ethic and pro-active approach to managing multiple administrative workflows in a fast-paced maritime environment.
  • Self motivated with excellent time keeping, prioritisation skills and the ability to work to tight timescales
  • Reports to: Fleet Coordinator
