Conveyancing Secretary/Paralegal

Key Responsibilities

  • Provide full administrative support to a residential conveyancing fee earner.
  • Assist the fee earner with all aspects of conveyancing transactions, including sales, purchases, shared ownership, transfers of equity, and remortgages.
  • Handle client communications via phone, email, and in person, ensuring excellent customer service.
  • Manage and maintain client files with meticulous attention to detail.
  • Use case management systems to track and progress transactions efficiently.
  • Act as the first point of contact for clients when dealing with matters post-exchange, ensuring a professional and friendly service.
  • Take full responsibility for matters post-exchange, effectively heading up the completion team.
  • Set up files for completions, including drafting completion statements, requesting mortgage funds, liaising with accounts to set up payments/receipts, and collating third-party figures.
  • Manage completion day processes, ensuring all formalities are handled smoothly.
  • Handle post-completion formalities, including submitting SDLT returns, registering properties with HMLR, updating LMS/Lender Exchange, closing files in a timely manner, and managing any residual balances.

About You

The ideal candidate will have:

  • Previous experience in a conveyancing team or legal environment, including shared ownership work.
  • Excellent communication skills with a professional and friendly telephone manner.
  • Strong IT skills, including experience with case management systems.
  • High attention to detail and strong organisational skills, particularly regarding post-completion formalities (HMLR, SDLT, and LMS updates).
  • The ability to work both independently and as part of a team.
  • A proactive, positive, and enthusiastic approach to work.
