Job Title: Property Marketing & Lettings Coordinator

Salary: £35,000 – £45,000 per year (DOE)

Job Type: Full-time, Office-based (Mon–Fri, 9am–6pm)

The Role

We’re looking for a Property Marketing & Lettings Coordinator to take ownership of how our homes are prepared, presented, and brought to market — while supporting instructions, compliance, and deal progression across the business.

This is a key role at the heart of the team — combining marketing, compliance, sales/lettings progression, and operational support to ensure everything runs smoothly and to a high standard.

About You

You’re someone who:

  • Has 2–3+ years’ experience in residential lettings (sales exposure a bonus)
  • Understands the full lifecycle — from instruction through to completion/tenancy
  • Has strong knowledge of AML, compliance, and onboarding processes
  • Has a great eye for presentation and detail
  • Communicates clearly, professionally, and confidently
  • Is highly organised and thrives managing multiple workstreams
  • Is proactive — always looking to improve systems and processes
  • Enjoys supporting a team and bringing structure to busy environments

Experience required:

  • Alto (or similar CRM)
  • Goodlord (holding deposits, referencing)

What You’ll Be Doing

You’ll be responsible for preparing, launching, and managing property listings — while supporting instructions, compliance, and deal progression across both lettings and sales where required.

Property Instruction & Client Onboarding

  • Supporting the instruction of new properties
  • Sending out and managing terms of business and ensuring they are signed
  • Completing AML checks and onboarding compliance
  • Responding to landlord notices and coordinating next steps
  • Ensuring a smooth transition from instruction to launch

Property Marketing & Launch

  • Preparing properties to go live
  • Booking photography, floorplans, and video tours
  • Enhancing presentation using virtual staging and AI editing
  • Writing and refining property descriptions, including local area highlights
  • Uploading and managing listings across portals

Enquiries & Deal Support

  • Managing incoming enquiries and arranging viewings
  • Coordinating access and keys
  • Supporting negotiators in progressing deals
  • Using Goodlord to secure holding deposits and manage referencing

Sales & Lettings Progression

  • Supporting sales progression where required
  • Chasing key parties to keep transactions moving
  • Coordinating communication between buyers, sellers, solicitors, and agents
  • Ensuring deals progress smoothly through to completion

Feedback & Client Communication

  • Gathering and organising viewing feedback from the team
  • Providing structured weekly feedback to landlords and vendors
  • Ensuring clients feel informed and supported throughout

Systems, Data & Process Improvement

  • Maintaining accurate and up-to-date CRM records (Alto)
  • Managing data and ensuring nothing is missed
  • Identifying inefficiencies and improving workflows
  • Supporting the team in maintaining high operational standards

Operations & Team Support

  • Arranging boards, keys, and access
  • Supporting day-to-day lettings operations
  • Providing PA support to the Head of Lettings
  • Assisting the wider team to keep everything running smoothly
