Data and Exams Officer

Reporting To

Data and Exams Manager / Assistant Headteacher with responsibility for Data, Assessment and Examinations

Job Purpose

To lead the effective administration and delivery of all internal and external examinations, ensuring compliance with awarding body and JCQ regulations, while supporting the accurate management, analysis and reporting of student and school data. The postholder will provide high-quality operational support to ensure examinations and data processes are delivered efficiently throughout the academic year.

Overview

This is a key operational role combining responsibility for student data management with the organisation and delivery of internal and external examinations. Working closely with senior leaders, teaching staff, support staff, students, parents/carers and external agencies, the postholder will ensure data systems and examinations processes are accurate, compliant and effective.

During much of the academic year, the focus is on assessment, reporting and data management. During examination periods, the postholder will take the lead in coordinating and delivering the examinations cycle, including the management of invigilation arrangements and compliance requirements.

Key Responsibilities: Examinations Administration

  • Coordinate all aspects of internal, mock, external and vocational examinations and assessments.
  • Ensure compliance with JCQ, Ofqual and awarding body regulations.
  • Lead the day-to-day operation of examinations during examination seasons.
  • Act as the main point of contact for examination boards and awarding bodies.
  • Process examination entries, amendments, withdrawals and candidate registrations.
  • Produce examination timetables, seating plans, room allocations and invigilator documentation.
  • Coordinate access arrangements, reasonable adjustments and special consideration applications.
  • Maintain secure handling, storage and distribution of examination materials.
  • Coordinate results days and post-results services, including reviews and appeals.
  • Maintain examinations policies, procedures and contingency plans.

Invigilation Management

  • Oversee Lead Invigilators and invigilation teams.
  • Support recruitment, induction, training and deployment of invigilators.
  • Ensure examinations are conducted securely, professionally and in accordance with regulations.

Data Management and Reporting

  • Maintain the accuracy, integrity and confidentiality of student and school data.
  • Support assessment cycles through the management of marksheets, data imports and exports.
  • Produce student reports and data summaries for staff, students and parents/carers.
  • Generate and analyse attainment, progress and examination data.
  • Support target-setting, prior attainment analysis and performance tracking.
  • Assist with statutory returns and census submissions.
  • Contribute to school improvement through data analysis and reporting.

Systems and Administration

  • Develop and improve systems and procedures relating to examinations and data.
  • Maintain records relating to entries, results, certificates and reporting.
  • Liaise effectively with staff, students, parents/carers, external agencies and awarding bodies.
  • Support the processing and import of examination results into school systems.

Compliance and Safeguarding

  • Adhere to GDPR and data protection requirements.
  • Comply with safeguarding, child protection, health and safety and equality policies.
  • Participate in relevant training and professional development.
  • Undertake additional duties appropriate to the grade of the post.

Person SpecificationEssential Qualifications

  • GCSE Grade 4/C or above (or equivalent) in English and Mathematics.
  • Strong ICT skills, including Microsoft Excel, databases and Microsoft Office applications.
  • Willingness to undertake training in examinations administration, data systems and safeguarding.

Desirable Qualifications

  • Qualification in administration, business support, data management or a related field.
  • Training in school MIS systems, examinations administration, JCQ procedures or data analysis systems.

Essential Experience

  • Experience working in a school administrative, data, assessment or examinations role.
  • Experience handling confidential and sensitive information.
  • Experience using databases, spreadsheets and management information systems.
  • Experience working to strict deadlines and managing competing priorities.
  • Experience communicating with a range of stakeholders.

Pay: £34,139.00-£36,108.00 per year
