Display CoordinatorJob Description

Job Title: Display Coordinator

Reports to: Marketing Manager

Works with: Marketing Coordinator, Designer, Events Manager, Operations Manager, Digital Campaigns Coordinator, Festival Producer, CEO & Festival Director

JOB PURPOSE

Working closely with the Marketing Manager, Designer and Operations Manager, the Display Coordinator will facilitate a coherent visual presentation of the Festival around multiple venues.

The Display Coordinatorensures promotional material for the films in the EIFF programme and sponsors are displayed around EIFF venues to support the overall marketing activity of the Festival.

The collateral should be displayed effectively (to maximise engagement with audiences), appropriately (in response to the requirements of the Festival, film, venue, sponsor), creatively (maintaining a high standard of presentation and visual consideration) and reach their designated EIFF venues in a timely manner.

The Display Coordinator sits within the Marketing team, including Marketing Coordinator, Designer, Digital Campaigns Coordinator, Ticketing Coordinator, Ticketing Assistant, Photo Editor and Video/Photography team.

RESPONSIBILITIES

  • Source film publicity materials, carrying on from initial contact made by the Programme Planning team, to ensure films have promotional display at EIFF and at the film’s screening locations.
  • Oversee the planning and installation of all in-house signage.
  • Liaise with printers to ensure artwork is suitable for print.
  • Liaise with the Operations Manager and Events Manager over signage and dressing requirements at venues and events, as required.
  • Supply artwork to spec for venue dressing such as pop-up or banner.
  • Research and develop display opportunities for the Festival as a whole and for individual sections, films or events.
  • Ensure any necessary resource material is acquired in advance of the Festival.
  • Ensure that all public display space is used to the full potential and that the displays carry appropriate and current information in a well-designed format.
  • Set up the systems and procedures for implementation of the publicity campaign during the Festival in all venues.
  • Provide transport for materials and support any staff dressing EIFF sites in advance of, during, and post Festival.
  • Liaise with the Operations Manager to support external suppliers with the installation/set up of any Red Carpets/Photocalls during the Festival.
  • Work with the Operations Manager to ensure all relevant H&S documentation is collated from external suppliers conducting any installations.
  • Support Marketing team on distribution of the Festival brochure and miscellaneous print to various outlets outwith EIFF’s commissioned distribution resources.
  • Provide a transport resource for other EIFF teams as and when necessary to ensure the smooth running and effective delivery of the Festival.
  • Coordinate the clear up of all publicity materials and spaces at the end of the Festival.

General

  • Communicate effectively with colleagues and departments across the Festival to share information, achieve deadlines and promote a positive working environment.
  • Attend meetings and provide progress and financial reports as required.
  • On completion of the contract, take part in evaluation activity and provide feedback at the end of the Festival.
  • Always act in accordance with EIFF policies and procedures.
  • Carry out other duties as reasonably requested by your line manager.

PERSON SPECIFICATION

Essential

  • Excellent visual presentation skills and a creative, problem-solving approach
  • Excellent organisational skills and attention to detail
  • Excellent communication and negotiation skills
  • Excellent English language, both verbal and written including proofreading skills
  • Ability to be flexible and respond to changing priorities
  • Ability to function well under pressure
  • Ability to work constructively in a team and to work independently
  • Proven record of working successfully to deadline
  • A current, clean driving licence
  • Knowledge of Edinburgh and its road layout
  • Has the right to work in the United Kingdom or be able to obtain as such
  • For insurance purposes, must be over 25 years of age

Desirable

  • Demonstrable understanding of and passion for film, ideally with some level of experience of working within cinema, film festival or wider film industry
  • Previous experience managing projects
  • Experience of a driving or vehicular delivery-based role
  • Understanding of Health & Safety requirements

TERMS AND CONDITIONS

Working days 5 days a week by agreement within standard office hours of 9.30 to 17:30, Monday to Friday. At peak times, and particularly immediately before and during EIFF, it will be necessary to work outside standard hours and at weekends. Payment of overtime is not applicable to this post.

Contract type: Fixed term contract. 4-25 August 2026

Salary: £28,407 pro rata

Holiday entitlement: 25 days per annum plus public holidays, pro rata plus 10 public holiday of which 5 are fixed and 5 are floating days

Working arrangements: Based at EIFF offices in Techcube in Summerhall. Hybrid working arrangements can potentially be discussed and agreed.

Pension Scheme: EIFF will comply with the employer pension duties in accordance with Part 1 of the Pension Act 2008, as amended or replaced from time to time

Right to Work: The successful applicant will be required to provide documentation under the Immigration, Asylum and Nationality Act 2006
