Job Summary

Freshasia Foods Ltd is seeking a highly organised and proactive Production Purchasing Officer to support our fast-growing frozen food manufacturing operations.

The role is responsible for purchasing raw materials, packaging materials, production consumables, and supporting production planning to ensure stable factory operations, cost efficiency, and supply continuity.

This position requires strong communication skills, data accuracy, supplier coordination ability, and the capability to work closely with Production, Warehouse, Quality, and Finance teams in a fast-paced food manufacturing environment.

Key Responsibilities

Purchasing & Supply Management

  • Purchase raw materials, packaging materials, ingredients, and production consumables according to production requirements.
  • Monitor stock levels and ensure sufficient material availability to avoid production interruption.
  • Raise and manage purchase orders through SAP or internal systems.
  • Coordinate delivery schedules with suppliers to ensure on-time arrivals.
  • Follow up supplier shortages, delays, and quality issues promptly.
  • Maintain accurate purchasing records, pricing information, and supplier data.

Production Coordination

  • Work closely with Production Planning and Warehouse teams to support daily manufacturing operations.
  • Assist in balancing stock levels to reduce overstock and material waste.
  • Coordinate urgent purchases for production emergencies.
  • Support new product launches by sourcing new ingredients and packaging materials.

Cost Control

  • Compare supplier quotations and support cost reduction initiatives.
  • Monitor raw material price fluctuations and report risks to management.
  • Support annual supplier negotiations and purchasing strategy improvements.
  • Help reduce slow-moving and obsolete stock.

Supplier Management

  • Build and maintain strong relationships with suppliers.
  • Evaluate supplier performance in terms of quality, pricing, delivery, and service.
  • Coordinate with Quality Department regarding supplier approvals and specifications.

Documentation & Compliance

  • Ensure purchasing activities comply with company procedures and food safety standards.
  • Maintain accurate documentation for audits and traceability purposes.
  • Support BRC, SALSA, customer audits, and internal compliance requirements where necessary.

Requirements

Essential

  • Previous experience in purchasing, procurement, supply chain, or production coordination.
  • Strong organisational and communication skills.
  • Good Excel and data management skills.
  • Ability to work under pressure in a fast-paced manufacturing environment.
  • Good attention to detail and problem-solving ability.
  • Ability to communicate effectively with suppliers and internal departments.
  • Fluent English communication skills.

Preferred

  • Experience in food manufacturing or FMCG industry.
  • Experience using SAP or ERP systems.
  • Understanding of inventory control and production planning.
  • Chinese language skills are beneficial but not essential.

KPI (Key Performance Indicators)

  • Material availability rate ≥ 98%
  • Purchase order accuracy ≥ 99%
  • Supplier on-time delivery ≥ 95%
  • Reduction of urgent purchase incidents
  • Inventory control and slow-moving stock reduction
  • Cost-saving contribution against annual purchasing targets
  • SAP data accuracy and timely system updates
