Allocator / Buying Administration Assistant (BAA)

Vanilla Retail Group | East London | Full-time

Vanilla Retail Group is a leading UK women's fashion retailer behind the successful Blue Vanilla and Pink Vanilla brands. We operate a growing network of standalone stores, e-commerce websites, and over 400 concessions across leading retailers including New Look and Matalan.

We are looking for an enthusiastic and organised Allocator / Buying Administration Assistant (BAA) to join our Head Office team. This is an exciting opportunity for someone looking to develop a career in buying, merchandising, and retail operations within a fast-paced fashion business.

The Role

Working closely with the Buying and Merchandising team, you will play a key role in ensuring the right products are in the right stores at the right time. You'll support the day-to-day allocation of stock while providing administrative support across the buying and merchandising function.

Key Responsibilities

  • Allocate stock across our concession estate and standalone stores.
  • Monitor sales performance and stock levels to maximise availability and sell-through.
  • Analyse weekly trading reports and identify replenishment opportunities.
  • Raise supplier purchase orders and monitor deliveries through to completion.
  • Coordinate product samples for e-commerce photography, buying meetings, fit sessions, and supplier reviews.
  • Liaise daily with suppliers, our distribution centre, stores, and internal departments.
  • Assist with product selection, range reviews, and seasonal planning.
  • Maintain accurate product and stock records across internal systems.
  • Support the wider Buying and Merchandising team with administrative tasks as required.

About You

We're looking for someone who is organised, analytical, and thrives in a fast-moving retail environment.

You'll ideally have:

  • Previous experience in retail, merchandising, buying administration, allocations, or a customer-facing retail role.
  • Strong analytical skills with excellent attention to detail.
  • Good Excel and IT system skills.
  • The ability to prioritise multiple tasks and work to deadlines.
  • Excellent communication and organisational skills.
  • A genuine interest in fashion and current retail trends.
  • A positive attitude with a willingness to learn and develop.
