Position: Office Manager – Financial Services

About Us:

Rosemount Financial Solutions (IFA) Ltd is a financial services organisation which focuses on financial planning that ranges from Investments, Pensions, Mortgages, Protection, and General Insurance. Rosemount has a network of Financial Advisers across the entirety of the UK.

A Rosemount network firm is looking for a motivated and experienced Office Manager to join their dynamic team on a permanent basis.

Key Responsibilities

Office Management

  • Oversee the day-to-day operations of the office, ensuring all administrative tasks are completed efficiently and professionally.
  • Manage office supplies, ensuring stock levels are maintained, and liaising with vendors for purchasing.
  • Maintain a well-organised office environment, ensuring the office is clean, safe, and conducive to a productive working environment.
  • Manage office equipment, including IT systems, and liaise with external providers for maintenance and technical support.

Administrative Support

  • Provide administrative support to the senior management team, including diary management, meeting coordination, and preparing documentation.
  • Oversee client correspondence, managing inbound and outbound communications, ensuring timely responses to client inquiries.
  • Ensure all client data and sensitive information is stored securely and in compliance with GDPR regulations.
  • Manage incoming and outgoing post, scanning, filing, and archiving documents as needed.
  • Coordinate internal and external meetings, including preparing agendas, booking meeting rooms, and arranging refreshments.

Compliance & Record Keeping

  • Support the compliance team by ensuring the office adheres to relevant regulatory standards.
  • Keep up-to-date with industry regulations and ensure the office maintains full compliance with FCA (Financial Conduct Authority) guidelines.
  • Assist in maintaining accurate records, ensuring that all client and business files are up-to-date and compliant.

Qualifications and Skills:

  • Proven experience as an Office Manager
  • Experience within financial services, specifically mortgage administration, is desirable
  • Exceptional organisation and multitasking abilities, with a proven track record of managing administrative tasks efficiently
  • Strong written and verbal communication skills, with the ability to liaise effectively with colleagues, clients, and external suppliers.
  • Competent in Microsoft Office Suite (Word, Excel, PowerPoint) and experience working with CRM systems.
  • Understanding of FCA regulations and GDPR, ensuring all operations adhere to required standards is desirable.
