Be the person who keeps everything running brilliantly.

We're looking for a highly organised, proactive and personable Personal Assistant & Office Coordinator to support our Executive Leadership Team while creating an exceptional workplace experience for colleagues and visitors alike.

This is a varied and rewarding role for someone who enjoys balancing executive support with hands on office coordination. You'll be the trusted go to person who ensures leaders can focus on strategic priorities while keeping our workplace welcoming, efficient and well organised.

What you'll be doing

Executive Support

You'll provide professional and proactive support to our Executive Leadership Team, including:

  • Managing complex diaries, meetings and travel arrangements.
  • Coordinating logistics and ensuring leaders' time is used effectively.
  • Preparing meeting packs, taking accurate minutes and tracking actions.
  • Acting as a professional point of contact for external stakeholders.
  • Providing confidential and discreet administrative support.

Office & Workplace Coordination

You'll play a key role in delivering a positive workplace experience by:

  • Welcoming visitors and creating a professional front-of-house experience.
  • Coordinating meeting rooms, catering, events and business hospitality.
  • Ensuring communal spaces are organised, stocked and presentation ready.
  • Supporting internal events, training sessions and wider business activities.
  • Managing visitor bookings, passes and day-to-day office logistics.

Facilities & Operations

You'll help ensure our office remains safe, compliant and operating smoothly by:

  • Coordinating facilities issues with landlords, contractors and suppliers.
  • Organising maintenance visits and supporting onsite contractors.
  • Managing deliveries, parcels and security access arrangements.
  • Monitoring office supplies, equipment and workplace resources.
  • Supporting health, safety, fire, first aid and workplace compliance activities.
  • Arranging DSE assessments and workplace equipment requirements.

What we're looking for

We're looking for someone who combines excellent organisation with excellent people skills.

You'll ideally have:

  • Previous experience in a Personal Assistant, Executive Assistant or senior administrative role.
  • Exceptional organisational and prioritisation skills.
  • Strong communication skills with the confidence to engage at all levels.
  • The ability to manage multiple priorities and work independently.
  • Advanced Microsoft Office skills, including Outlook, Word, Excel and PowerPoint.
  • Experience producing meeting minutes and tracking actions.
  • A proactive, solutions-focused approach.
  • Excellent attention to detail and commitment to high standards.
