Parts Coordinator (Gas & Electrical)

About the Role

We are looking for a Parts Coordinator to support our busy gas and electrical repairs and installations team.

This is a key role responsible for managing the full parts process—from receiving engineer requirements through to ordering, tracking, and coordinating job completion. You will play a vital part in keeping engineers productive and ensuring customers receive a fast, efficient service.

This is not a general admin role. We are looking for someone who can prioritise urgent jobs and take ownership of the process.

Key Responsibilities

Parts Ordering & Coordination

  • Receive and review parts requirements from engineers
  • Identify and accurately source correct parts
  • Prioritise urgent breakdowns (e.g. no heating/hot water)
  • Order parts from approved suppliers
  • Ensure engineers have parts to complete jobs first time

Supplier Management

  • Track orders and delivery times
  • Resolve delays, shortages, and queries
  • Maintain accurate records of orders and costs

Engineer & Customer Support

  • Communicate daily with engineers on job progress
  • Provide updates on parts and timelines
  • Contact customers to arrange return visits
  • Schedule jobs based on urgency and engineer availability

Systems & Administration

  • Update CRM/job management systems
  • Maintain clear records of outstanding parts and actions
  • Support operations reporting and process improvements

Stock & Efficiency

  • Identify commonly used parts
  • Support van stock improvements
  • Help reduce repeat visits and delays

About You

  • Confident working with engineers, suppliers, and trade parts
  • Strong organisational skills and attention to detail
  • Able to prioritise in a fast-paced environment
  • Comfortable using systems and learning new software
  • A proactive problem-solver with a can-do attitude

Experience Required

  • Experience in coordination, scheduling, or parts ordering
  • Strong administrative and communication skills
