Treatment Coordinator – Telephone & Patient Conversions

We're a growing NHS and private dental group with three practices in Essex, looking for an experienced Treatment Coordinator to take ownership of patient conversion across the whole group — by phone, not chairside. This is a non-clinical, multi-site role built around turning missed opportunities into booked,treatment-ready appointments.

The Role

This is not a chairside TCO role — you will not be seeing patients in person or presenting treatment plans in the surgery. Instead, you'll work across all three sites using VoiceStack call data to identify where patients are falling through the cracks, then use your treatment coordination background to talk to them confidently by phone about options, costs, and next steps — converting interest into booked, treatment-ready appointments. You'll also coach our reception teams and report weekly to Practice Managers.

What You'll Do

● Analyse VoiceStack call data across all three sites to identify missed calls, incomplete bookings, and lost treatment or new patient enquiries

● Make proactive outbound calls to patients requiring treatment or finance discussions, using your TCO knowledge to answer questions confidently and move them to a booked appointment

● Triage new patient and treatment enquiries and book them with the right clinician based on treatment need, complexity, and availability

● Produce clear weekly feedback summaries for each Practice Manager covering call handling performance and conversion patterns

● Deliver structured receptionist coaching — including regular site visits — covering call technique, conversion language, and patient experience

● Track and report monthly on new patient numbers, missed opportunity recovery rates, and treatment conversion performance

● Support consistent call standards and booking protocols across the group

● Work full time across all three sites — this is not a remote or work-from-home role

What We're Looking For

● Previous experience as a Treatment Coordinator (TCO) or in a patient-facing dentalconversion/sales role — essential

● You understand treatment planning, case value, and finance conversations, and can hold that conversation confidently by phone

● Familiarity with call tracking or practice management software (VoiceStack, CareStack, Dentally, SOE or similar)

● Comfortable analysing call logs and performance data, and turning them into a useful summary without being told how

● Organised and self-directed — you'll manage your own time across three sites and produce weekly reports without being chased

● Tactful and constructive when feeding back to colleagues — this is about raising standards, not catching people out
