Job Overview

We are seeking a highly organised and personable GP Reception Manager to oversee the front desk operations of our busy medical practice. The successful candidate will be responsible for ensuring smooth patient flow, managing administrative tasks, and providing excellent customer service. This role offers an opportunity to contribute to a welcoming environment where patients feel valued and cared for. Prior office experience and administrative skills are essential for success in this position.

Duties

  • Supervise and coordinate the daily activities of the reception team to ensure efficient patient check-in and check-out processes
  • Manage appointment scheduling, cancellations, and rescheduling to optimise clinic flow
  • Handle patient enquiries via phone, email, and in person with professionalism and empathy
  • Maintain accurate patient records and ensure confidentiality in accordance with data protection regulations
  • Oversee the organisation of administrative documentation
  • Support the implementation of practice policies and procedures to enhance operational efficiency
  • Liaise with healthcare professionals, suppliers, and external agencies as required
  • Assist in training new staff members and provide ongoing support to the reception team
  • Maintain the registration workflow

Skills

  • Proven office experience with strong organisational skills within a GP setting
  • Previous administrative experience within a healthcare setting is highly desirable
  • Excellent communication skills, both written and verbal, with a friendly demeanour
  • Ability to multitask effectively under pressure while maintaining attention to detail
  • Proficient in using office software such as Microsoft Office Suite or equivalent programmes
  • Strong leadership qualities with the ability to motivate and manage a team
  • Knowledge of healthcare administration procedures and data protection regulations is advantageous
