FACILITIES & BUILDING COORDINATOR

Hathaway Medical Centre is seeking a motivated, organised and detail-focused Facilities & Building Coordinator to support the safe, compliant and effective operation of our Medical Practice.

This is an excellent opportunity for someone who enjoys organising, coordinating and problem-solving, and who would like to develop their knowledge of facilities management, contractor coordination and Health & Safety within a busy healthcare environment.

Job Purpose

To support the safe, compliant and effective operation of the Practice through the day-to-day coordination of the practice facilities, maintenance activities, contractor management and Health & Safety administration.

Key Responsibilities

  • Support Health & Safety documentation, risk assessments and statutory compliance checks.
  • Coordinate building maintenance, repairs and contractor visits.
  • Monitor and follow up on facilities issues through to completion.
  • Maintain maintenance logs, inventories, compliance records and supporting evidence.
  • Liaise with contractors, suppliers and external service providers.
  • Support audits and compliance processes as required.
  • Participate in the Site Phone rota (approximately every 8 weeks).
  • Assist with premises-related projects and improvements.
  • Escalate any significant facilities, maintenance or Health & Safety concerns to management.

Essential Skills & Experience

  • Strong organisational and administrative skills.
  • Excellent communication and interpersonal skills.
  • Confidence to work and liaise with Management and Contractors
  • Good IT skills and confidence using Microsoft Office systems.
  • Ability to prioritise workload and work independently.
  • Good attention to detail and record-keeping skills.
  • Awareness of Health & Safety responsibilities within the workplace.
  • A proactive and practical approach to problem-solving.

Desirable Skills & Experience

  • Experience in a similar role, supporting facilities, operations, administration or maintenance coordination.
  • Experience working within an NHS, healthcare or regulated environment.
  • Knowledge of CQC premises standards or estates processes.
  • IOSH Working Safely qualification (or willingness to undertake training).
  • Previous experience within a GP surgery or healthcare setting would be advantageous but is not essential.

Hours

This is a permanent position ranging from 15–25 hours per week across 5 days.

Working hours will need to be between 7:30am and 6:30pm, Monday to Friday, depending on business needs. Working on Tuesdays and Fridays is essential.
