Full job description

We are very excited to be able to recruit an additional person to our patient-facing reception and administration team to allow us to improve the service that we are able to offer to our patients . This post is for 15 hours per week to be worked over 2 days. The closing date is Sunday 19th July.

We are looking for someone who thrives on helping others and enjoys being at the heart of a busy, supportive GP practice. As the first point of contact for our patients, you’ll play a vital role in ensuring everyone receives a warm welcome, clear information, and efficient guidance. The role calls for someone who can balance empathy with confidence—someone who can listen carefully, communicate clearly, and provide consistent, fair support even when expectations need to be managed or alternative options offered. You will also be someone who can successfully understand how to efficiently prioritise and process administrative tasks (eg processing online patient and third party queries and prescriptions). If you’re organised, compassionate, and able to stay calm and constructive in a fast‑paced environment, you’ll fit right in. Join us and help keep our practice running smoothly for the community we serve.

Person Specification: Patient Services Administrator

Essential Skills & Qualities

  • Excellent communication skills—clear, calm, and confident.
  • Ability to remain composed and professional under pressure.
  • Strong organisational skills with attention to detail.
  • Comfortable managing competing demands in a fast‑paced environment.
  • Ability to apply practice protocols consistently and fairly.
  • Empathy and patience, balanced with the confidence to set boundaries and offer alternatives.
  • Strong IT skills, including the ability to learn clinical systems quickly.
  • Commitment to confidentiality and data protection.

Experience

  • Previous customer‑facing or administrative experience.
  • Experience handling challenging conversations constructively.
  • Working within a team environment.

Desirable

  • Experience in a healthcare, social care, or public‑facing service.
  • Familiarity with NHS systems such as EMIS, SystmOne, or similar.
  • Understanding of primary care processes and terminology.

Personal Attributes

  • Warm, approachable, and patient‑focused.
  • Resilient and adaptable.
  • Proactive problem‑solver.
  • Reliable, punctual, and committed to high standards of service.
  • Positive attitude and willingness to learn.
