Practice Manager- Mayfield Surgery

Mayfield Surgery is looking for an experienced, resilient and motivated Practice Manager to provide senior operational leadership across our GP practice.

As Practice Manager, you will work closely with the GP partners and clinical team to ensure the smooth running of the practice while supporting excellent patient care and staff wellbeing. Salary will be dependent on experience.

The Role

The postholder will manage core business functions including finance, payroll-related processes, HR administration, premises, health and safety, IT, information governance, policies and procedures, complaints, patient engagement and regulatory compliance. They will work with the GP Lead and clinical team to support QOF, contractual requirements, CQC readiness, service improvement and practice development.

The role requires strong leadership, sound judgement, excellent communication and the ability to manage people, systems and competing priorities in a busy primary care environment. The Practice Manager will help maintain a positive working culture, support continuous improvement, ensure compliance with relevant requirements and contribute to the long-term strategic development of the organisation.

The role also involves liaison with the PCN, ICB, NHS England, suppliers and other external stakeholders, and contributing to strategic planning and change management across the organisation.

Mayfield Surgery is a friendly, patient-focused GP practice serving the Weston Favell area of Northampton and the surrounding communities. We serve circa 8700 patients. We provide care through a committed team of clinical, administrative and management staff.

The practice has a supportive and team-oriented culture, with a strong emphasis on courteous, accessible and responsive care for patients, families and carers.

Key Responsibilities

  • Oversee the day-to-day management of the practice
  • Lead and support administrative and reception teams
  • Coordinate practice meetings, communication processes and operational planning.
  • Identify opportunities to improve efficiency, patient experience and service delivery.
  • Manage practice finances, budgeting, and reporting
  • Ensure compliance with CQC, NHS, and employment regulations
  • Maintain an effective overview of practice policies, procedures and compliance requirements.
  • Support achievement of QOF and other contractual requirements with the clinical and administrative teams.
  • Ensure appropriate systems are in place for health and safety, risk assessments, mandatory training, information governance, confidentiality and business continuity.
  • Monitor performance targets, contracts, and quality standards
  • Drive service improvement and patient satisfaction initiatives
  • Liaise with external organisations including NHS bodies and suppliers
  • Provide functional management and support to clinical and administrative staff as appropriate.
  • Line manage designated staff groups, which may include administrative, reception, nursing, healthcare assistant, advanced clinical practitioner, and salaried GP roles, depending on agreed local arrangements.
  • Manage recruitment, induction, retention, succession planning and workforce development processes.
  • Support appraisal, training, staff development, performance management, disciplinary and grievance processes.
  • Ensure complaints are managed in line with current legislation, guidance and practice policy.
  • Support significant event analysis, audit and quality improvement activity where required.
  • Promote a positive, inclusive and professional working environment.
  • Ensure staff have appropriate training and support to carry out their roles effectively.
  • Oversee premises management, facilities issues and health and safety arrangements.
  • Coordinate repairs, maintenance, supplier relationships and practice development work as required.
  • Manage practice IT arrangements, delegating system administration tasks where appropriate.
  • Ensure appropriate information governance, IT security and data protection processes are followed.
  • Support effective use of clinical and administrative systems.
  • Support patient engagement, including the Patient Participation Group where appropriate.
  • Maintain effective communication with patients, staff, partners and external organisations.
  • Act as a key point of contact for NHS England, the ICB, PCN, community services, suppliers and other stakeholders as required.
  • Work with PCN colleagues, including the PCN Manager and ARRS staff, to support aligned service delivery.
  • Contribute to the practice development plan and long-term strategic objectives.
  • Lead or support projects, service redesign and continuous improvement initiatives.
  • Support premises development or other organisational development work where required.
  • Help the practice respond to changing NHS, contractual, workforce and patient demand pressures.
