Full job description

The Opportunity

Hayes is changing. We're in the middle of a phased renovation - new spaces, better infrastructure, a site that reflects what Graze is becoming.

We're looking for an Office Manager who runs a tight ship and genuinely cares about the people in it. Someone who can keep a busy factory site operating smoothly day to day, build a culture worth showing up for, and make everyone who walks through the door, team member or visitor, feel like they've arrived somewhere that takes pride in itself.

What You'll Do

Running the site

This is the operational core of the role - and it needs to be done well. Hayes is a working factory and the bar for how it's managed should match the quality of what it produces.

  • Own the day-to-day running of the Hayes office and facilities - from shared spaces and meeting rooms to equipment, supplies, and maintenance
  • Support the office elements of the phased renovation with an onsite presence, coordinating with contractors, managing timelines, and keeping the site functional and presentable throughout
  • Manage office budgets: ordering what's needed, tracking spend, and making smart calls on what isn't worth the cost
  • Be the first port of call for any facilities issue, fix what you can, escalate what you can't, and make sure nothing falls through the cracks
  • Support onboarding logistics: desk set-up, site access, inductions, the details that make a real difference on someone's first day
  • Maintain accurate site records, contracts, maintenance logs, compliance documentation

Building the culture

A well-run site and a great culture aren't separate things. The best office managers understand that how a place feels is just as important as how it functions.

  • Champion high standards and genuine pride in the workplace - visibly, consistently, every day
  • Plan and coordinate internal events, team moments, and site-wide initiatives that bring people together and mark what matters
  • Run regular feedback loops with the team - listening to what people need and feeding that back to the People function
  • Support the rollout of group-wide people initiatives at Hayes, making sure they land in a way that feels relevant to the site
  • Be a visible, approachable presence on the floor - someone the team trusts and comes to
  • Spot shifts in team morale early and raise them - not after the fact

Welcoming people

First impressions set the tone. Whether it's a new starter, a visitor, or a contractor - everyone who arrives at Hayes should feel they've walked into somewhere that has its act together.

  • Meet and greet all visitors with warmth and professionalism
  • Manage the visitor sign-in process and make sure health and safety requirements are communicated clearly on arrival
  • Prepare meeting rooms and shared spaces ahead of visits, the details matter
  • Be the person who makes Hayes feel well-run from the moment you walk in

What We're Looking For

You don't need a factory background. You do need to be someone who takes genuine pride in the environments they run — and who understands that culture is built in the day-to-day, not the away-day.

You'll need to bring:

  • Some experience in an office management or facilities role, you know what good looks like and you hold yourself to it
  • An eye for detail and high personal standards, you notice what others walk past
  • Strong organisational skills and the ability to juggle multiple priorities without dropping any of them
  • A proactive, self-starting approach, this role has real autonomy and needs someone who uses it well
  • Genuine warmth and strong people skills, this role is as much about relationships as operations

It would be great if you also have:

  • Experience supporting a culture or engagement programme - formally or informally
  • A background in a fast-moving operational environment - FMCG, manufacturing, logistics, or similar
  • Experience managing a site through a period of change or renovation
