Full job description

Job Purpose

The Maintenance & Facilities Manager is responsible for helping ensure that Church View Children’s Place provides a safe, secure, well-maintained, welcoming and homely environment for the children who live at the home, as well as for staff and visitors.

The role covers routine maintenance, preventative maintenance, grounds and external areas, safety inspections, minor repairs, management of contractors and accurate recording of maintenance activity. The postholder will work closely with the Registered Manager and wider management team to identify potential hazards and resolve maintenance issues promptly.

As Church View is a children’s disability home, particular consideration must be given to safeguarding, environmental risks and the individual needs and vulnerabilities of the children, rather than approaching maintenance purely from a property-management perspective.

1. General Maintenance & Repairs

· Carry out routine repairs and maintenance throughout the home and grounds.

· Undertake minor plumbing repairs where competent to do so.

· Undertake minor joinery and carpentry work.

· Repair doors, handles, hinges, locks, cupboards and furniture.

· Repair or replace damaged fixtures and fittings.

· Carry out minor decorating, painting and touch-up work.

· Repair walls and surfaces following damage where appropriate.

· Maintain flooring, skirting boards, thresholds and other finishes.

· Replace lamps/light bulbs and other user-replaceable components.

· Assemble and securely install furniture and equipment.

· Install shelving, notice boards, pictures, mirrors and similar items safely.

· Identify repairs that require a qualified or specialist contractor and report or escalate these promptly.

2. Planned Preventative Maintenance

· Develop and work from a planned maintenance schedule rather than relying solely on faults being reported.

· Routinely inspect doors and door closers, windows and restrictors, locks and security hardware, walls and ceilings, floors and floor coverings, bathrooms, sanitary fittings, taps, toilets and showers.

· Inspect kitchen fixtures and fittings, bedroom and communal furniture, external doors, gates and fencing, external lighting, gutters and drainage, paths, paving and steps.

· Inspect outdoor play areas, garden furniture, storage areas, plant and utility areas and the building fabric generally.

· Address deterioration before it becomes a significant safety or operational issue.

3. Maintenance Reporting and MaintainX

· Monitor maintenance requests raised through the MaintainX App.

· Ensure maintenance jobs are appropriately prioritised.

· Record work undertaken, job status and completion dates.

· Add photographs or other evidence where appropriate.

· Identify recurring faults and escalate overdue or high-risk issues.

· Record jobs referred to external contractors.

· Ensure completed work is checked where appropriate and that records provide a clear audit trail.

4. Daily / Regular Premises Safety

· Undertake regular visual inspections of the building and grounds for trip hazards, sharp edges, damaged fixtures, broken furniture, loose fittings and damage to doors or windows.

· Identify damaged fencing, unsafe external surfaces, water leaks, drainage problems, exposed cables, damaged sockets or switches and potentially unsafe electrical equipment.

· Identify signs of damp, mould or water ingress, broken glass, pest activity, unsafe substances, damaged play equipment and obstructions to exits.

· Where an immediate repair cannot be completed, make the area safe and immediately inform the Registered Manager or person in charge.

5. Fire Safety Support

· Complete routine visual checks of fire doors and report defects.

· Check that escape routes remain unobstructed and fire exits can be operated appropriately.

· Report damage to fire detection, emergency lighting, fire extinguishers or signage.

· Assist management with scheduled fire-safety checks where trained and authorised.

· Ensure specialist inspection, servicing and repairs are referred to appropriately competent contractors where required.

6. Water, Heating & Legionella Support

· Monitor the premises for leaks and check taps, showers and toilets for obvious defects.

· Report abnormal water temperatures and heating failures promptly.

· Check radiators and heating equipment for damage.

· Complete designated flushing or monitoring tasks where these form part of the home’s water hygiene arrangements and the employee has received appropriate instruction or training.

· Assist competent water hygiene or Legionella contractors where required.

7. Grounds & Outside Areas

· Maintain grounds in a safe condition and regularly check paths and walkways.

· Remove leaves and other debris, including anything that has fallen or blown into children’s outdoor and play areas overnight.

· Check fencing, gates and boundaries and report damage promptly.

· Monitor external lighting, damaged or uneven paving, drains and gutters.

· Support snow and ice management and gritting where required.

· Carry out lawn and general grounds maintenance where applicable.

· Monitor trees, branches, shrubs and planting for obvious damage or hazards and report potentially dangerous plants, berries, fungi or vegetation.

· Check outdoor furniture and equipment and remove rubbish or potentially hazardous objects from external areas.

8. Children’s Bedrooms & Living Areas

· Undertake repairs sensitively and with minimum disruption to children.

· Pay particular attention to furniture, wardrobes, drawers, window restrictors, curtain and blind fittings, doors, hinges, handles, radiator covers, walls, flooring, sharp edges and exposed fixings.

· Treat children’s bedrooms as their personal space and home, agreeing access with care staff wherever practicable.

9. Safeguarding

· Understand that safeguarding children is everyone’s responsibility and complete all required safeguarding training.

· Maintain appropriate professional boundaries with children.

· Avoid placing yourself unnecessarily in a situation where you are alone with a child.

· Follow staff instructions regarding access to children’s bedrooms and private areas.

· Report safeguarding concerns immediately in accordance with Church View procedures and never investigate safeguarding concerns yourself.

· Maintain confidentiality and be mindful of tools, equipment and materials being accessible to children.

· Consider the individual vulnerabilities and known risks associated with children living at the home.

10. Tools, Equipment & Hazardous Materials

· Ensure tools are never left unattended where children can access them and secure tools immediately following use.

· Maintain secure storage for tools, ladders, power tools and equipment.

· Secure paints, solvents, adhesives, fuels and chemicals and follow COSHH requirements.

· Maintain relevant safety information and Safety Data Sheets where applicable.

· Ensure hazardous substances are appropriately labelled and stored.

· Inspect work areas carefully after completing repairs and account for tools, screws, blades, drill bits and other potentially hazardous items.

· Use an “area safe and tools accounted for” sign-off for significant jobs where appropriate.

11. Contractor Management

· Coordinate contractor access with management and confirm the purpose and expected scope of work.

· Ensure contractors follow Church View visitor, signing-in and safeguarding procedures.

· Prevent unsupervised access to children unless specifically authorised.

· Ensure work areas are made safe during and following contractor activity.

· Confirm work has been completed and obtain relevant service sheets, certificates and records.

· Report outstanding defects to management and ensure relevant documentation is retained within compliance or maintenance records.

12. Health & Safety

· Follow Church View’s health and safety policies and complete maintenance risk assessments where required.

· Use appropriate PPE and follow safe systems of work.

· Use ladders and access equipment safely.

· Report accidents, near misses and hazards and isolate unsafe equipment where appropriate.

· Report significant building defects and cooperate with fire, electrical, gas, water and other specialist contractors.

13. Security

· Check doors, locks, gates and windows for defects and report security concerns immediately.

· Support maintenance of external lighting and monitor fencing and boundaries.

· Report damaged locks or potential unauthorised-access points.

· Maintain confidentiality regarding security arrangements, access codes and children’s information.

· Keep issued keys secure and never provide keys or access codes to unauthorised persons.

14. Compliance & Record Keeping

· Assist management in keeping premises and maintenance records up to date.

· Maintain records of contractor visits, servicing, repairs and preventative maintenance.

· Retain relevant equipment inspection, COSHH and maintenance risk-assessment information.

· Record fire-door, water-related, grounds, playground and outdoor equipment defects.

· Ensure maintenance-related accidents, near misses and actions are recorded through the appropriate Church View procedure.

15. Child-Friendly Environment

· Help ensure Church View remains a home rather than feeling like an institution.

· Maintain a high standard of decoration and promptly repair visible damage.

· Keep bedrooms and communal areas attractive and support reasonable changes to children’s bedrooms.

· Maintain sensory and recreational areas.

· Consider children’s needs when scheduling noisy or disruptive work.

· Work respectfully around children and take pride in the appearance of Church View.
