About the Role

We are seeking an exceptional, high-calibre Medical Secretary to support a leading private oncology practice in Central London. This role requires a polished, proactive person who is experienced in working within private healthcare environments and understands the importance of discretion, efficiency, and outstanding patient care.

Our patients are often navigating some of the most challenging and distressing periods of their lives. The ability to communicate with genuine sensitivity, compassion, and emotional intelligence is therefore not just desirable, it is essential to this role.

Working closely with the Consultant and as part of a team of secretaries, you will play a key role in coordinating care for patients undergoing complex cancer treatment, ensuring a seamless, responsive, and compassionate administrative service at all times.

Working Pattern & Employment

This role is based four days a week on-site at The Cromwell Hospital, with one day working remotely. You will be employed directly by The Practice and will become part of a dedicated team working for the clinic. You will report to the Practice Manager and work closely with another secretary.

Key Responsibilities

  • Provide dedicated, high-level secretarial support to the Consultant Oncologist
  • Work collaboratively with other Medical Secretaries to ensure smooth day-to-day operations and assignment of daily tasks
  • Manage complex clinic diaries, appointments, and treatment schedules across multiple providers
  • Coordinate multidisciplinary care, including referrals, imaging, and liaising with hospitals and specialists
  • Prepare, proofread, format, and process detailed clinical correspondence, reports, and letters to a high standard
  • Act as the primary point of contact for patients, delivering a professional, empathetic, and discreet service
  • Handle sensitive patient information with the utmost confidentiality and in line with GDPR requirements
  • Manage private patient pathways from initial enquiry through to ongoing treatment and follow-up
  • Coordinate tests, results, and timely communication between all parties
  • Run the day-to-day operation of the on-site clinic, including meeting and greeting patients, arranging post-consultation tests, and ensuring the smooth running of the clinic
  • Support billing processes, invoicing, and liaison with insurers where required
  • Maintain meticulous and accurate patient records and documentation systems

Essential Skills & Experience

  • Experience as a Medical Secretary within oncology or a closely related specialty within a private setting
  • Experience working in private healthcare or a high-end clinical environment
  • Advanced knowledge of medical terminology, particularly within oncology
  • Exceptional organisational skills with the ability to manage complex and fast-paced workloads
  • Outstanding written and verbal communication skills
  • High level of emotional intelligence, professionalism, and discretion, with a demonstrable ability to communicate sensitively with patients at a very difficult time in their lives
  • Warm, friendly, and approachable manner, with a genuine commitment to delivering the highest standard of patient care
  • Strong IT proficiency including Google Workspace, Microsoft Office, and digital practice systems
  • Ability to manage priorities independently and remain responsive on the one remote working day

Desirable

  • Knowledge of Carebit practice management system
  • Familiarity with private billing processes and insurance workflows

Additional Requirements
