Job Title: Medical Secretary

Location: Royal Bolton Hospital, Minerva Rd, Farnworth, Bolton BL4 0JR

Hours: Full Time

Reference: 90522

What you’ll be responsible for:

· Typing of day-to-day correspondence on behalf of the Consultants and medical staff working in the department, ensuring that the departmental clinical correspondence targets are adhered to.

· Organising the Consultants’ clinical, academic and professional commitments by managing their diary, co-ordinating clinics & theatre lists and arranging meetings / appointments / travel arrangements. Ensure that Leave / meetings affecting clinical commitments are circulated to the appropriate departments / personnel.

· Providing on a rotational basis additional secretarial support to the Clinical Lead during his / her term of office, proactively dealing with additional e-mails, correspondence, meetings etc.

· Participating in the organisation of clinical audits / departmental meetings, ensuring that relevant papers / minutes are typed and distributed in a timely manner.

· Acting independently to prioritise workload. Exercise independent judgement and initiative when resolving problems.

· Ensuring the timely production of an accurate clinical record of each patient episode using relevant IT systems and databases, including case note tracking and logging RTT outcomes onto LE2.2.

You’ll learn the following whilst working at the trust:

1. An in depth understanding of the roles and responsibilities involved in working within the NHS

2. Knowledge of the systems used, to effectively complete your role to the highest standard at all times

3. A sense of teamwork, gained through working alongside and supporting colleagues from all levels, within the organisation

You’ll have the following skills/experience:

  • Working knowledge of the 18-Week Referral to Treatment (RTT) pathway and NHS waiting time standards.
  • Understanding of urology patient pathways, including referrals, diagnostics, outpatient appointments, procedures, and follow-up care.
  • Previous experience working as a Medical Secretary, RTT Validator, Patient Pathway Coordinator, or Administrator within an NHS setting.
  • Knowledge of NHS administrative policies, procedures, and information governance requirements.
  • Experience using NHS clinical and patient administration systems
  • Advanced administrative and secretarial skills, including diary management, clinic administration, and patient correspondence.
  • Proficient in Microsoft Office applications, particularly Excel, Word, Outlook, and Teams.
  • Strong problem-solving and investigative skills to resolve complex pathway issues.
  • Ability to work independently whilst also contributing effectively within a multidisciplinary team.
  • High level of confidentiality and adherence to GDPR, Data Protection Act, and NHS Information Governance standards.
